Legal Administrative Assistant

LHH is partnering with a well-established organization in Tampa to hire an experienced Legal Administrative Assistant with a background in real estate law. This role supports real estate transactions from start to finish, including document preparation, filings, disbursements, and communication with all parties involved in the closing process. The ideal candidate brings strong real estate legal experience, attention to detail, and a collaborative mindset. Responsibilities: Prepare, revise, and proof a wide range of real estate documents, including purchase and sale agreements, deeds, affidavits, notes, mortgages, UCC financing statements, easements, leases, loan documents, and related corporate filings and resolutions Coordinate with state and local agencies to obtain public records related to ownership, taxes, zoning, land use, and other real estate matters Manage the recording and filing of documents with appropriate governmental offices Serve as a point of contact to keep clients, agents, and lenders informed on transaction status at the direction of attorneys and/or paralegals Maintain organized and up-to-date client files, transaction records, and case documentation Handle disbursement of funds via wire transfers and checks, and reconcile invoices and outstanding balances Provide general administrative support including scheduling, calendaring deadlines, managing correspondence, and answering phones Qualifications: 5+ years of experience in a real estate legal administrative or legal assistant role High School Diploma required; Bachelors degree preferred Strong working knowledge of Microsoft Office Suite Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment Excellent interpersonal and communication skills with a solutions-oriented approach Ability to remain composed under pressure while demonstrating professionalism and patience Benefits & Perks: Competitive compensation Comprehensive benefits package, which may include medical, dental, and vision coverage Paid time off and paid holidays 401(k) and other employer-sponsored benefits Supportive, professional work environment with long-term stability If youre an experienced real estate legal administrative professional looking for your next opportunity in Tampa, wed love to hear from you.
