Executive Assistant
Job Summary:
The Executive Assistant position is a fast-paced, dynamic position that provides proactive administrative support to core executives in a professional manner. This position handles details in a confidential nature. Successful candidates will possess skills in adaptability, prioritization, and problem solving.
Essential Job Functions:
Provide executive support for key executives, which includes calendar management and email correspondence
Arrange domestic and international travel (including multi-trip) and accommodations
Create travel itineraries
Proactively plan for logistics related to international travel, including reservation booking, and between destination navigation
Provide support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization
Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company
Maintain complex calendars and schedules, resolving any scheduling issues
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
Be responsive to emails/texts/phone calls
Represent the company through proactive follow-through skills and practicing good judgment
Support technology needs for meetings
Other essential duties as assigned
Qualifications/Education/Experience/Skills:
8+ years of Executive Support at the VP or above level
High proficiency in MS Outlook, Excel, Word, and PowerPoint
Ability to operate within a global matrix environment
Ability to manage multiple priorities at once recognizing when to shift priorities
Ability to raise issues appropriately and to proactively bring forward solutions
Ability to effectively simplify and document ways of working and processes
Strong communication skills both orally and in writing
Highly polished and professional
Extreme attention to detail
