Leave of Absence Coordinator

As a Leave of Absence Coordinator, you will be responsible for managing and coordinating the full lifecycle of all employee leaves of absence (LOA), including FMLA, Workers' Compensation (WC), ADA-related leaves, parental leave, and other personal, medical or statutory leaves. This role serves as the primary point of contact for employees, managers, healthcare providers, insurance carriers, and third-party administrators. This role ensures compliance with federal, state, and company policies while delivering a consistent, employee-centered experience.ESSENTIAL DUTIES AND RESPONSIBILITIES:Leave of Absence & FMLA AdministrationAdminister all LOAs, including FMLA, ADA-related leaves, short-term and long-term disability, and company-specific leavesDetermine eligibility, provide required notices, and ensure appropriate medical certifications and documentation are obtained and maintained confidentiallyTrack leave usage and maintain accurate records within HRIS and internal systemsMonitor leave timelines and proactively communicate with employees and managers regarding status, expectations, and next stepsEnsure compliance with federal, state, and local leave lawsWorkers' Compensation (WC) ManagementCoordinate workers' compensation claims from initial report through resolutionPartner closely with the Safety Manager to support injury investigations, documentation, and return-to-work planningServe as liaison between employees, managers, insurance carriers, and third-party administratorsTrack claim status, lost time, and return-to-work datesSupport and monitor modified duty and transitional return-to-work programsPartner closely with the Safety Manager to support injury investigations, documentation, and return-to-work planningReturn-to-Work CoordinationFacilitate the return-to-work process following medical or occupational leaveReview medical certifications and work restrictions to recommend appropriate accommodations in accordance with ADA and business needsPartner with HR, Safety, and management to identify modified or light-duty assignments when applicableEnsure smooth and compliant reintegration of employees into the workplaceEmployee & Manager SupportServe as subject-matter expert and advisor to employees and leaders on leave management, compliance obligations, and return-to-work practicesProvide clear guidance to employees and leaders regarding rights, responsibilities, and expectations during leaveHandle sensitive situations with empathy, professionalism, and discretionPayroll and Shared Services SupportServe as backup for payroll processing as needed, ensuring accuracy and timelinessAssist with payroll-related administrative tasks, including time and attendance adjustmentsSupport benefits administration related to leave events, including premium tracking and coordinationProvide administrative support across payroll, benefits, and total rewards initiativesPartner with the HR Shared Services team to ensure alignment between leave administration and compensation/benefits processesCompliance & DocumentationMaintain accurate, confidential records related to LOA, FMLA, WC, and ADA mattersInterpret and apply employment regulations to ensure ongoing compliancePrepare reports and metrics related to leave utilization, workers' compensation claims, lost time, and return-to-work outcomesIdentify process improvement opportunities within leave and return-to-work programsQUALIFICATIONS:Bachelor's degree in human resources, Business Administration, or related field (or equivalent experience)Bilingual English and Spanish strongly preferred1+ years of experience administering LOA, FMLA, and workers' compensation programsStrong knowledge of FMLA, ADA, WC, and applicable employment lawsExperience working with third-party administrators and insurance carriersStrong organizational skills with the ability to manage multiple cases simultaneouslyExcellent communication, problem-solving, and analytical skillsProficiency in Microsoft OfficeFamiliarity with payroll processes and HRIS systemsHigh level of discretion and ability to manage confidential informationBenefits:KSI Auto Parts offers a competitive benefits package, including PTO, paid holidays, health, dental, and vision insurance, a 401(k) with company match, employer-paid life insurance up to $50,000, and supplemental insurance options.
