The Commercial Reader/Examiner is the technical foundation of every title commitment produced on a New York commercial transaction. This role is responsible for diving deeply into commercial title searches, reviewing all legal documents, maps, surveys, and plats with a trained eye, identifying every title defect and matter of record, and producing clear, accurate, and complete title commitments that can withstand the scrutiny of sophisticated commercial attorneys, lenders, and underwriting counsel. The Commercial Reader/Examiner is a resident NY title expert - the person the entire examination team relies on when New York-specific title questions arise.
Job Responsibilities:
Produce Bulletproof Title Commitments from NY Commercial Searches
Review all components of a New York commercial title search - including the chain of title, judgment search, tax search, UCC search, survey, and all recorded instruments - and produce a complete, accurate Schedule A and Schedule B for every assigned file. Every matter of record should be correctly identified, correctly described, and correctly categorized as a Schedule B-I requirement, B-II exception, or Schedule B note. Zero commitments should reach the attorney, lender, or clearance team with a missed matter of record or an incorrectly described exception. Deliver commitments within established turnaround windows without sacrificing accuracy.
Identify and Resolve All Title Defects Before Commitment Delivery
Apply NY title standards and underwriting guidelines to identify every defect in the chain of title or current title status - including gaps in the chain, open liens, judgments, UCC filings, tax certificate issues, survey problems, easement conflicts, encroachments, and municipal violations. For each defect, determine the appropriate resolution - whether curative, endorsement, underwriter approval, or exception - and communicate that determination clearly to the clearance team or coordination team with supporting reasoning. Zero defects should pass through examination undetected.
Serve as the NY Title Subject Matter Expert for the Examinations Team
Be the go-to resource for NY-specific title questions across the examinations team. When colleagues encounter unfamiliar NY title issues - ACRIS searches, RPT tax forms, NYC-specific recording requirements, co-op and condo title nuances, or NY underwriting standards - be available to provide clear, accurate guidance. Participate in team knowledge-sharing and contribute to internal documentation of NY title standards. Within 90 days of hire, be recognized by the team as the definitive internal resource on New York commercial title.
Deliver Clear, Concise Title Commitment Cover Letters on Every File
For every title commitment delivered, produce a cover letter that accurately summarizes the key title issues, outstanding requirements, notable exceptions, and any matters requiring the attorney's attention. Cover letters should be written in plain, professional language that is useful to a commercial real estate attorney - not a recitation of Schedule B items, but an intelligent synthesis of what the attorney needs to know and act on. Zero cover letters should be so vague, incomplete, or poorly written that they fail to add value to the commitment delivery.
Maintain Accurate, Current SoftPro Records on All Assigned Files
Use SoftPro to maintain accurate and current records on all assigned examination files - including search receipt, examination completion, commitment draft, and delivery status. Update records promptly as each stage is completed. Ensure that all matters of record are correctly entered and that the SoftPro record matches the delivered commitment at all times. Zero files should have a SoftPro record that is out of sync with the actual commitment delivered to the client.
Coordinate With Underwriting Counsel to Support Compliant, Smooth Closings
For any NY commercial file that presents a specialty risk situation - unusual survey matters, old deed descriptions, gap issues, adverse possession claims, or non-standard ownership structures - coordinate proactively with underwriting counsel to obtain guidance and approval before the commitment is delivered. Present the risk question clearly and completely. Follow up until a resolution is received. Ensure that every file with underwriting counsel involvement has documented approval before the commitment or clearance moves forward .
Basic Hiring Criteria:
3-5+ years of commercial title experience with a clear, primary focus on New York files required; NY title experience is non-negotiable.
Deep knowledge of NY title insurance standards, NYTIS policies, ALTA policies, and NY underwriting guidelines.
Ability to read and interpret complex legal documents, surveys, maps, and plats.
SoftPro experience preferred; proficiency with title production software required.
Excellent written communication skills - clear, precise cover letter writing is essential.
Strong organizational skills; ability to manage multiple NY commercial files simultaneously.
High school diploma required; bachelor's degree a plus.
