FRONT DESK ASSOCIATE
JOB TYPE: Full-time with benefits
SCHEDULE: 8 hour shift
LOCATION: Williamsburg, in-person
OVERVIEW:
Our Front Desk Associate is the first and last person to represent Peninsula Dermatology to patients and therefore has a significant responsibility in creating a great first impression and for maintaining it throughout the check-in and check-out process. They need to make patients feel welcome when they call for a new appointment or, if necessary, to cancel or reschedule an existing appointment. They also need to be courteous and professional when collecting information needed to create or update a patient’s chart or when collecting deductibles or co-pays as applicable.
DUTIES & RESPONSIBILITIES:
Welcomes patients and visitors by greeting them in person or on the phone and by answering or referring inquiries
Schedules patient appointments while complying with provider’s scheduling rules
Keeps patient appointments on track by notifying providers or medical assistants of patient’s arrival
Comforts patients by anticipating their needs, answering their questions, and maintaining the reception area in a neat and orderly manner
Ensures availability of treatment information by filing and retrieving patient records
Maintains patient accounts by obtaining, recording, and updating personal and financial information in their charts
Protects patients’ rights and privacy by maintaining strict confidentiality of personal and financial information in accordance with HIPAA
Processes and files scanned documents that come into the office daily
Collects co-pays and balances due upon patient’s arrival
KNOWLEDGE, SKILLS & ABILITIES:
Must have superior interpersonal and communication skills in person and on the phone
Must have a caring attitude and be able to show genuine empathy toward patients
Must have the ability to work with clinical staff and handle pressure working with multiple providers
Must be able to multi-task and manage time to ensure assigned work is done on time and in a professional manner
Must be comfortable and proficient working with electronic medical record systems while scheduling patient appointments and resolving other patient concerns
Must have a high attention to detail and accuracy and have superior organizational skills
Must be trustworthy and flexible
EDUCATION & EXPERIENCE:
Must possess a high school diploma or equivalent
Two years of experience in a medical practice is desired
Dermatology experience is a plus
