Executive Legal Secretary
DescriptionWe are looking for a Legal Assistant to support senior attorneys focused on health, data privacy, and cybersecurity matters in Oakland, California. This Long-term Contract position,that is expected to last around 6 months, is ideal for someone who brings strong executive support capabilities, sound judgment, and the ability to manage multiple priorities in a fast-paced legal environment. The role blends legal administrative coordination with high-level executive assistant responsibilities and offers an excellent opportunity for a motivated candidate who is organized, adaptable, and eager to contribute as part of a collaborative team.Responsibilities:+ Coordinate complex calendars for senior attorneys, including arranging meetings, managing shifting priorities, and organizing larger group events.+ Handle travel logistics and prepare expense submissions with accuracy and timely follow-through.+ Prepare engagement and retention documentation for outside counsel and route materials through established internal procedures.+ Provide day-to-day executive support, including managing correspondence, tracking action items, and helping maintain smooth administrative operations.+ Organize legal and administrative documents so that records remain accessible, current, and properly maintained.+ Work closely with colleagues across the team to provide flexible support wherever coverage or additional assistance is needed.+ Assist with scheduling for hybrid work activities, including in-office planning tied to required team presence on designated days.RequirementsQualifications:+ Prior experience in executive assistant, legal assistant, or legal secretary support roles, or equivalent administrative experience.+ Strong ability to manage calendars, coordinate meetings, and balance multiple scheduling demands.+ Experience arranging business travel and completing expense reports with close attention to detail.+ Comfort handling documents, correspondence, and administrative processes in a detail-oriented office setting.+ Proficiency with standard business technology and the ability to learn new systems quickly.+ Excellent organizational skills, sound communication, and a dependable approach to follow-up.+ Willingness to work in a hybrid environment with mandatory in-office attendance on Tuesday and Wednesday, plus an additional office day as needed.+ A collaborative mindset, adaptability, and readiness to support teammates in a collegial work environment.Robert Half is the world's first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
