The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position SummaryThe Administrative Coordinator will be primarily responsible for supporting the Executive Vice Chair for the division of Anatomic Pathology in the department of Pathology and Cell Biology and will be responsible providing general administrative support within the operations unit of the department. This person must have excellent computer skills, organizational skills, interpersonal skills, writing skills, and experience with workplace environments that respect privacy and discretion. They will be expected to provide support to ensure smooth functioning of the Division.ResponsibilitiesPersonnel support (30%):Support faculty and staff recruitment by editing job descriptions, coordinating and scheduling interviews; supporting onboarding activities such as ordering supplies, scheduling first week meetings and orientations, liaison with department's central administration units to request access to department systems.Liaison and partner with department's HR team to support activities related to compliance and employee engagement such as, recruitment, onboarding, employee recognition, faculty reappointments, FPPE/OPPEs, and faculty and staff evaluations.Assist with maintaining personnel recordsAdministrative assistance- (25%):Maintain calendar schedule, organize internal and external meetings,Varying levels of administrative assistance to other center/division faculty members on an as needed basis.Handle multiple phone lines, take detailed messages and direct incoming callsScreening, editing and drafting of communications, emails, phone calls and other correspondence and documents, presentations, publications; including but not limited to medical reports, manuscripts, articles, and course materials.General office support- (20%):Maintain and order office and general suppliesFile expense reimbursement requestsAssist with generating requested reports; May require retrieving and manipulating data in systems.Maintain and update records, documents, folders, and databases includes filing; scanning; faxing, data entry.Reports (15%)* Epic/Beaker reporting and statistical data compilation, with the expertise relevant to Anatomic Pathology Laboratory workflow.Events Management- (5%):Assist with travel coordinationScheduling and coordinating of meetings, seminars, and other eventsPrepare meeting documents and materials; distribute materials and minutesPerforms other related duties and special projects as needed (5%)Minimum Qualifications* Requires bachelor's degree or equivalent in education and experience; and two years of experience.Preferred Qualifications* Proficient in CoPath & Epic/Beaker reporting and statistical data compilation, with expertise relevant to Anatomic Pathology Laboratory.* Advance Excel spreadsheet working knowledge.Other RequirementsStrong interpersonal, communication (both written and verbal) and organizational skills is a must.Computer Proficiency at an intermediate to advanced proficient level (most especially involving Outlook, Word, Excel, PowerPoint, Adobe Acrobat).Resourcefulness and the ability to exercise initiative and independent judgment, and the ability to prioritize and multitask are required.Must be able to work with diplomacy and efficiency.Must be able to work with integrity and discretion.Successful completion of applicable compliance and systems training requirements.May be required to work early morning and later evenings when necessary.Equal Opportunity Employer / Disability / VeteranColumbia University is committed to the hiring of qualified local residents.
