Legal Administrative Assistant

PurposeThe Legal Administrative Assistant provides administrative support to legal professionals and attorneys in the fulfillment of their responsibilities with the law firm. The position requires a high degree of professionalism, confidentiality, discretion, initiative, flexibility, and dependability.Essential FunctionsE-file and serve in state, federal, and appellate courtsDocket court dates and case deadlinesDraft fee agreementsPerform file openings and conflict checksPrepare legal documents, exhibits, and case-related materialsManage physical and electronic case filesCoordinate deposition and trial logisticsProcess and reconcile expenses and invoicesDraft and send client and potential client correspondenceCreate shell templates in accordance with court requirementsRegister and log attorney admissions, licenses, and registrationsAssist with timekeepingTrack and file Continuing Legal Education creditsPrepare meeting/event materials, distribute accordinglyOrganize meeting logisticsCoordinate travel logistics and itinerariesAssist with business development and social media effortsProvide back-up support to other legal assistantsPerform day-to-day administrative functions, such as: distribute/send mail, screen and place phone calls, etc.Complete additional duties as requestedCompetenciesOrganizational expertiseTime management skillsClient service know-howGood judgmentAttention to detailFlexibilityAnalytical thinkingProfessionalismTeam playerKnowledge / SkillsDeliver outstanding client service with a can-do attitudePossess strong verbal and written communication skills, including: spelling, grammar, and proofreading proficiencyExercise discretion in handling confidential, controversial, or sensitive informationDemonstrate high degree of professionalismUse initiative and independent judgment within established guidelinesPrioritize workloads appropriatelyInterpret data accurately and present information conciselyWork well under pressure and within tight deadlinesMicrosoft Office Suite, Zoom, Ironclad, Emburse, and document manage system proficiencyEducation & ExperienceExperience as a Legal Administrative Assistant required. Associate’s or Bachelor’s degree desired. Business Litigation or Intellectual Property and Technology desired, but not required.Physical DemandsWork is performed in a professional office environment and requires the following during the work day:Individual will interact regularly with others verbally, in-person, and via written communicationOperate computer and other office equipment such as a copy machine, printer, telephone, etc.Ability to move/traverse about the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)Must be able to remain in a stationary position for long periods of time (working at a computer)Repetitive movement (i.e. heavy computer/keyboard use)May require occasional light lifting (files, copy paper, etc.)In Addition To The Essential Functions Outlined Above Individual in this position will provide additional assistance and support as directed by his/her supervisor This job description is subject to change at any timeThe hourly pay rate for this position is $30.20 - $57.53 per hour, depending on experience. This is a non-exempt position eligible for overtime.
