You’ll manage payroll, job scheduling, and administrative processes, and serve as the point of contact between technicians, clients, and vendors.Key Responsibilities:Payroll & Financial AdminProcess weekly or bi-weekly payroll using QuickBooks, ADP.Track timecards and technician hours.Handle accounts payable/receivable, invoicing, and vendor payments.Reconcile expenses and prepare reports for ownership.Office & Project CoordinationCoordinate scheduling of jobs, technicians, and subcontractorsManage service calls, estimates, and work ordersMaintain organized project documentation and job trackingAssist with permit applications, inspections, and client updatesOrder and track supplies, materials, and partsCustomer & Team SupportServe as a main point of contact for customer inquiries and updatesCommunicate schedules, priorities, and updates with field teamsSupport hiring/onboarding processes and maintain HR recordsEnsure the office stays organized, efficient, and welcomingQualifications:Proven experience in office management or administrative coordination in construction, plumbing, HVAC, or a trades-related field.Payroll experience required (QuickBooks, ADP, or similar)Strong organizational and communication skillsComfortable with job scheduling, multi-tasking, and problem-solvingProficient in MS Office, Google Workspace, and business software toolsAbility to work independently and as part of a teamBonus Skills:Familiarity with project management tools or dispatch softwareBasic bookkeeping or accounting knowledgeSpanish language skills (a plus but not required)What We Offer:Competitive salary DOE $130K-160K + bonusPaid time off and holidaysSupportive, family-owned business environment.Opportunities to grow with a respected and expanding company.To Apply:Please send your resume and a cover letter to liz@ebcassociates.net.
