About The RoleThe Shipping and Receiving Specialist (Document Control & Exceptions) is responsible for supporting the Order-to-Cash (O2C) process through the management, validation, tracking, and resolution of freight documentation and shipment exceptions. This role works closely with Facility Operations, Customer Service, Transportation, Accounts Receivable, and external carriers to ensure Bills of Lading (BOLs), Proofs of Delivery (PODs), and related shipping documents are captured accurately and processed in a timely manner.The position plays a critical role in reducing invoicing delays, improving document visibility, and supporting overall cash flow performance.Core Responsibilities Documentation Management Monitor inbound and outbound freight documentation workflows Verify and organize: Bills of Lading (BOLs) Delivery Manifests (DMs) Proofs of Delivery (PODs) OS&D documentation Ensure documents are uploaded, matched, and stored correctly within company systems Validate document completeness and legibility before invoice release Exception Management Track and manage shipment exceptions preventing invoicing Research and resolve: Missing BOLs Missing PODs Incorrect shipment references Freight discrepancies Communicate directly with: Facilities Drivers Carriers Accounts Receivable Customer Service Escalate unresolved issues within defined timelines System & Reporting Support Support Dock Tile / TMS document workflows Maintain exception dashboards and reporting tools Assist with shipment tracking and status validation Help identify trends and recurring operational gaps Operational Support Partner with facilities to improve documentation accuracy Support process audits and SOP compliance Assist with onboarding and training related to document handling procedures Required Qualifications High School Diploma or GED 1–3 years experience in: Logistics Transportation Warehouse operations Billing support Administrative support Strong organizational and follow-up skills Comfortable working in fast-paced operational environment Basic computer skills (Excel, Outlook, document scanning) Preferred Qualifications Experience with: TMS/WMS systems Freight documentation Billing or Accounts Receivable support Exception management Understanding of: LTL / TL freight BOLs and PODs Transportation terminology Key Skills Attention to detail Sense of urgency Communication and follow-up Problem-solving Time management Ability to work across Operations and Finance teams Monday - Friday 9am - 6pm.
