This involves issuing inquiries, evaluating bids, and issuing purchase orders for a wide range of engineered equipment, materials, and services. This also entails review and completion of all purchase order documents, ensuring that all essential elements as terms and conditions, scope of work, pricing, payment terms, marking, packaging, shipping details, warrantees, and the applicable signatures are included. Ensures effective communication among different disciplines and external suppliers and maintains proper records of communications.Key ResponsibilitiesAnalyze requisition packages and bids for completion and quality assessmentPrepare and obtain approvals for commercial bid tabulations and recommendationsIdentify, resolve, or mitigate performance issues relating to supplier performance while ensuring a positive working relationship with key or top suppliersCoordinate technical evaluations with relevant engineersCollaborate with the Manager Procurement to select potential sellers and formalize a bidders listConduct negotiations with potential sellers proficientlyIndependently conduct meetings and negotiationsSolid understanding of the company's purchasing terms and conditionsPrepare commercial meeting minutesGenerate and submit inquiry packages to obtain sufficient acceptable bidsEvaluate transportation and related logistic mattersCoordinate Inspection activities with 3rd party inspection agenciesPreparation, verification, and issuance of purchase ordersFurnish necessary planning and scheduling information to the Project Controls departmentMaintain updated requisition and purchase order status reportsCoordinate reported non-conformances pertaining to sellers, in collaboration with the Project ManagerExpedite documentation and materials to ensure timely deliveryReview of seller invoices, issuing payment claims and maintain close communication with accounts payableManage potential back charges to seller, while keeping the Manager Procurement informedEvaluate and record supplier performancesSkills, Knowledge and ExpertiseBachelor's degree in engineering preferred2-5 years of experience with engineered equipmentWorking knowledge of project procurement processAbility to improvise, be flexible, handle challenging circumstancesAbility to work effectively independently as well as collaboratively with teamStrong English verbal and written communication skills, both internal and externalDemonstrates strong attention to detail and critical thinking skillsDemonstrated ability to negotiate favorable terms and conditions with suppliers to achieve cost savings and mitigate risks preferredExperience analyzing supplier performance data, and supplier financial information to make informed procurement decisionsProficiency with Microsoft Office.
