Job Summary:
Receptionists are a vital member of staff in any company. They are the first impression walking into our office and first point of contact. A Receptionist also maintains security by logging all visitors and possibly issuing visitor pass while answering incoming phone calls. This person must be a multi-tasker comfortable with high volume phone and visitor traffic. Must have a pleasant disposition and work well with others. Works with many departments in assisting with administrative duties including A/P and HR. Must be comfortable with multiple phone lines, outlook, excel and word.
What You'll Do:
Answer high volume of calls daily.
Greet all visitors, offer beverages, provide a warm reception.
Allow entry for employees with badge access.
Ensure everyone has a badge.
Process daily USPS mail and packages.
Transfer sales calls, customer calls, and service request calls to proper operations personnel using proper protocol.
Provide basic assistance to third party vendors who call in.
Announce and help with scheduling weekly lunch for the company, help office manager make sure the coffee is always flowing.
Receive and dispatch deliveries, sign for the company as necessary.
Process weekly check run for Accounting/Billing Departments.
Take and ensure messages are passed to the appropriate staff member on a timely basis via phone transfer or email.
Work with other departments such as Office Manager, Provider Team, Billing/Accounting, Marketing and Sales Teams.
Responsible for ensuring every call is answered and delivered.
Responsible for answering the claims emails and mailed notices.
Ensure the desk is not left vacant.
May post birthday notices and other similar notes on internal company social media.
What You Need:
1-2 years of receptionist experience.
HS Diploma or GED required.
Strong working knowledge of Microsoft Office applications - Excel, Word, PowerPoint, and Outlook (Embraces technology).
Attention to detail.
Exceptional multi-tasker.
Excellent communication skills.
Courteous and friendly.
Strong customer service skills.
Sorting and distributing mail.
Ability to handle upset callers and be empathetic and calm.
Confident in handling callers and their inquiries.
Ability to manage the stress of a fast-paced environment.
Ability to meet the in-person requirements of the team and/or business needs.
