The Specialist plays a critical role in promoting student success, retention, and financial well-being while maintaining strong relationships with internal stakeholders, external partners, and third-party sponsors.The position requires strong knowledge of federal and state regulations (including U.S. Department of Education guidelines and FERPA), institutional policy, and Worldwide campus procedures. The Specialist independently manages complex billing and sponsorship cases, ensures compliance with regulatory and institutional requirements, and provides analytical support for third-party billing, reconciliation, and accountKey Job FunctionsThird-Party Sponsorship & Billing ManagementManage setup, maintenance, and compliance of third-party sponsorship contracts across all campusesCreate, validate, and maintain sponsor invoicing processes for approximately 16,000 sponsored students annuallyOversee flight program invoicing and related billing processes for residential programsAdminister billing and allocation of payments for major sponsors (e.g., military organizations, corporate partners, and tuition assistance programs)Review and process purchase orders and VA Chapter 31 (VRE) billing, including tuition, fees, flight charges, and bookstore materialsEnsure accurate application, auditing, and reconciliation of sponsor payments to student accountsAccount Reconciliation & Financial ControlsAssign, monitor, and audit service indicators related to sponsorships and receivables within student systemsReconcile third-party organizational accounts and resolve discrepanciesProcess organizational refunds, adjustments, and abandoned funds in accordance with policyMaintain accurate documentation and ensure compliance with institutional and regulatory requirementsSupport audit readiness through accurate financial tracking and reportingStudent Account Counseling & SupportServe as a primary point of contact for students, families, staff, and external partners regarding billing and financial inquiriesProvide financial counseling related to tuition, aid, payment options, and account balancesCommunicate proactively regarding financial responsibilities, deadlines, and documentation requirementsManage escalated inquiries via phone, email, Teams, SharePoint, and centralized inboxesCoordinate diploma holds and resolve account issues affecting student graduation clearanceSupport resolution of complex billing and enrollment-related financial impactsFinancial Reporting & Process ImprovementGenerate and maintain reports on sponsorship activity, outstanding balances, and account trendsSupport process improvements and policy updates within Student Financial ServicesContribute to system enhancements and operational efficiencies across billing platformsProvide backup support for other Third-Party Specialists as neededDeliver training and guidance to internal staff and external partners on billing processesSystems & Technical ToolsUtilize and maintain proficiency in: Campus Solutions, TouchNet, Salesforce, SharePoint, Knowledgelake, Tungsten, AI Portal, WAWF, ETA system, Flight Ops, Atrium, and Microsoft Office SuiteEnsure accurate data entry, reporting, and system integrity across multiple platformsAdditional ResponsibilitiesPerform other duties and special projects as assigned by SFS leadership, including participation in events, presentations, and university initiatives (both on-campus and virtual)Perks Await You at Embry-Riddle!Health Benefits: Experience comprehensive medical, dental, and vision coverage, along with wellness programs that include preventive care and fitness memberships. The final offer will be based on the candidate’s skills, qualifications, and experience, as well as applicable state regulations, internal equity, and business needs, and may fall outside of the stated range.QualificationsRequired Education and Qualifications:Associate’s degree, or completion of a post-secondary program of 18+ months after high school, or equivalent relevant work experience requiredBachelor’s degree strongly preferredRequired Skills, Knowledge, And AbilitiesProficiency in Microsoft Office Suite, with advanced skills in ExcelStrong analytical, problem-solving, and critical thinking skills with demonstrated ability to work independently as a self-starterExcellent customer service orientation with strong verbal and written communication skillsStrong interpersonal skills with the ability to interact effectively with diverse internal and external stakeholdersExcellent organizational skills with the ability to manage multiple priorities in a team-oriented environmentDemonstrated willingness to share knowledge, collaborate effectively, and learn new tasks and systemsRequired Experience1–3 years of relevant work experience requiredHours Of Work / Travel RequirementsThe hours and days of work are determined by business needs and may be modified at the discretion of management.
