Assistant (Legal Secretary)
The Assistant (Legal Secretary) is responsible for providing support for assigned attorneys and/or senior management performing a variety of legal secretarial and administrative duties.ResponsibilitiesAnswer multiple phone lines; screen and direct calls them as appropriateMaintain calendars, schedule meetings, and arrange conference/teleconference callsMake arrangements for travel, transportation and accommodations via Internet and/or through the Firm’s travel departmentProcess expenses through Firm expense application (Chrome River)Prepare attorney diaries through Firm diary application (Intapp)Utilize various office machines to transmit data, print, duplicate, fax and PDFCreate and maintain attorney files using alphanumeric systemsCoordinate with Conference Services when scheduling meetings for room reservations, food/beverages and audio/visual equipment needsPrepare and process client bills, working closely with Billing departmentCreate, revise and proofread letters and various legal documentsProvide backup coverage for other assistants and receptionistsPerform other duties as assignedRequired SkillsAbility to effectively present information verbally and in writingAbility to type 50+ wpm; skilled typing ability and knowledge of personal computers, software, and related applicationsProficiency in Microsoft Word and ExcelBasic math skills: addition, subtraction, multiplication, divisionStrong attention to detailMust be able to work collaboratively in a team environmentAbility to use diplomacy and discretion in relaying informationCan organize, prioritize, plan and multi-task work activities, with the ability to effectively meet deadlines in a high-pressure environmentPreferred SkillsBasic knowledge of Microsoft PowerPointPreferred Experience3 to 4 years of administrative experience in an office or professional services settingRequired EducationHigh School diploma or GED equivalentPreferred EducationFour-year college degreeSalary InformationThe actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
