THE JOB / Event Executive (Experiences) (Hospitality)EXPERIENCES / Responsible for planning and executing event and experiential marketing programs.***Our headquarters is in Stamford, CT, but the location of this position can be flexible with a priority given to candidates open to hybrid work (3 days a week in office) in one of our office locations - - Stamford, CT, New York, NY, Atlanta, GA, Charlotte, NC, or Chicago, IL.We are seeking an Event Executive to join our skilled and dynamic hospitality team. The EE will be able to work on multiple projects simultaneously, delivering a collection of hosting and hospitality experiences. You'll work closely with a tight-knit, service-oriented team committed to delivering seamless, elevated hospitality experiences.THE WORK YOU’LL DOPlan and implement hospitality-focused events including vendor research, merchandise management, and event communicationsCoordinate projects with outside vendors and internal resourcesLearn and lead sophisticated guest registration systemsDevelop a knowledge and understanding of client’s content topics, priorities and business initiativesManage agendas and take detailed notes for weekly meetings with both internal and external partnersCoordinate status details on pre-event meeting agendas, i.e., transportation, F&B, and other activitiesDesign, prepare and distribute event execution guides, staff implementation guides, and personalized itineraries for guests at various eventsProvide hands-on event staffing and oversightAssist with numerous projects simultaneously ranging from hotel room blocks to concierge email responses, to ticketing managementGenerate recap documents of each event including key metrics and recommendationsManage inventory, track shipments, and ensure timely and accurate delivery of uniforms & gifting materialsProvide regular inventory and fulfillment status updates to internal stakeholdersAdditional projects as assigned, which may include: assistance on other events/programs, competitive research, POVs, property research, etc.THE BIGGER TEAM YOU’LL JOINRecognized as one of the “Best Places to Work in Sports”, Octagon is the global sports, entertainment, and experiential marketing arm of the Interpublic Group.We take pride in being Playmakers – finding insightful, bold ways to create play in our work, our lives, and in the world. Are you a Playmaker?WHO WE’RE LOOKING FORA passion for and expertise in sports, entertainment, gaming, music and/or celebrity & lifestyle cultureAt least 1 year of related experience, previous hospitality experience is preferredA team-player who wants to know what others are working on and wants to helpA self-starter who can balance multiple projects on strict timelines simultaneouslyFlexible and adaptable in working with various personalitiesExcellent interpersonal skills, both written and oralAbility to thrive under pressure and problem solve; offering creative solutionsA go-getter who demonstrates initiative and embraces new challengesProficiency with Microsoft Office suite; particularly Excel, PowerPoint, WordThough not a requirement, fluency in a second language is a plusA jetsetter: your bags are packed and you are excited about travelingFlexibility and willingness to travel domestically and work weekends or holidays as needed.
