Job Summary: The Family Place is seeking a highly organized and detail-oriented Administrative Assistant to support our program participants and team. The ideal candidate will provide exceptional customer service, receptionist tasks, and program support, and play a key role in the functioning and effectiveness of The Family Place. This position is Monday-Friday from 8:00 am to 5:00 pm and requires the ability to arrive on time daily to greet families dropping off children. Responsibilities Customer Service (50%) · Arrive by 8:00 am daily to open office and greet families dropping off for early childhood education. · Greet all visitors politely and professionally. Determine the nature of their business and contact the appropriate staff person to assist them. · Answer telephone, screen calls, provide resource and referral information, transfer or take messages. · Serve as an onsite safety representative and resource for point-of-service requests · Pick up the daily mail, date stamp, scan and distribute to staff mailboxes · Monitor the environment and ensure it is safe, clean, and presentable · Assist in maintaining office equipment (copier, postage machine, etc.) · Provide support for staff on photocopy, correspondence, and mailing jobs Program Coordination (20%) · Coordinate resource materials for the agency, ordering and updating as necessary. · Register and track participants for classes and workshops. · Assist with managing forms (physical and electronic), including intake forms, resource, and referral forms, and more for various direct service teams. File and track forms for reporting purposes. · Database entry in various platforms as requested. · Provide project assistance to program staff to help them prepare for classes, workshops and special events. · Maintain and manage brochures, resources, and bulletin boards for clients. Communications Coordination (20%) · Assist with website updates in coordination with Development Team. · Create program flyers and outreach materials for program staff following branding guidelines in a graphic platform such as Canva or Adobe. · Manage social media content including developing a content calendar and posting in coordination with the Development Team. · Perform other duties as assigned. Requirements: Education and Experience · 2+ years’ experience in a professional office setting · 2+ years using computer applications including spreadsheets and word processing · 1+ years experience and/or education creating flyers, social media posts and/or website pages · Experience in a human services or education setting (preferred) Skills and Knowledge · The ability to lift at least 25lbs. · Highly organized and efficient. · Proficient with using software like Microsoft Office/Microsoft 0365 or equivalent · Able to establish and maintain strong working relationships · Able to provide consistent, high-quality customer service to a diverse array of people Job Type: Full-time Benefits: 401(k) Dental insurance Employee assistance program Flexible spending account Health insurance Health savings account Paid time off Parental leave Professional development assistance Vision insurance Schedule: 8 hour shift Monday to Friday Ability to Commute: Norwich, VT 05055 (Required) Work Location: In person
