You'll work alongside our operating teams to understand how work actually gets done, document those processes clearly, and translate them into specifications our developers can build against. You'll lean on AI throughout — building prototypes, accelerating documentation, and getting real work done faster.Once solutions are built and our teams are augmented with new systems and AI tooling, you'll help manage delivery and adoption — making sure the change lands, the process holds up in practice, and the expected gains are measured, realized, and improved upon. This is a hands-on, cross-functional role in a fast-moving environment. Happier doctors mean better results for patients — so we run circles around the hard stuff.Learn more at www.hardloop.biz.What you'll doPartner with operations and support teams to map existing workflows — documenting how processes run today, where the friction and handoffs are, and what “good” looks like.Translate processes into clear, build-ready specifications: requirements, user stories, acceptance criteria, and data/field definitions that developers and admins can implement without guesswork.Help connect business stakeholders and the technical team during delivery — clarifying intent, asking good questions, and flagging when scope drifts.Use AI tools to accelerate every stage of the work: drafting documentation, prototyping, analyzing data, and spotting where AI can be embedded into the process itself.Help specify improvements to the systems our teams run on — such as Salesforce workflows — and coordinate with admins/developers to deliver them (you'll have support and can learn the tools as you go).Support the rollout and adoption of new systems and AI-augmented workflows — coordinating timelines, testing, training, and feedback so changes stick.Help define and track the metrics that show whether a process change actually worked, and iterate based on what the data says.What you'll bringThis is an early-career role. We care far more about how you think and work than about years of experience or a specific tool on your resume. The traits below matter most:Startup DNA: you've worked, interned, or built something in a startup or other fast-moving, resource-light environment where you wore multiple hats, figured things out without a playbook, and shipped.Grit: you push through ambiguity and setbacks, take ownership of messy problems, and follow through until the work is actually done and adopted.Curiosity and a bias to try: when you hit something you don't know, you research it, experiment, and learn fast rather than waiting to be told.Self-motivated and self-directed: you manage your own priorities, keep projects moving, and hold yourself accountable in a remote setting without close supervision.A talent for process: you can sit with a team, understand what they do, and document it in a way that is both accurate and usable.Practical AI fluency: you already use AI tools (e.g. ChatGPT, Claude, Copilot) to do real work faster — not just curiosity, but hands-on use.Foundational systems and data sense: a basic grasp of how data is structured and related and how systems talk to each other, plus the curiosity to deepen it (you don't need to be an engineer or have formal training).Clear written communication: notes, process docs, and updates that are easy to follow and unambiguous.A willingness to challenge the status quo: you question assumptions and existing ways of working based on business objectives.Nice to haveAny hands-on exposure to Salesforce, or how it's used to run business workflows — helpful but not required; you can learn it here.Experience writing requirements or tracking work in tools such as Jira, Linear, Asana, or Notion.Exposure to integration/automation tooling (e.g. Zapier, Workato, MuleSoft) and basic SQL.Experience using or rolling out AI-augmented workflows in an operational setting.Any exposure to healthcare, behavioral/mental health, EMR, billing, or HIPAA-regulated environments.Compensation & detailsBase salary: $75,000–$85,000 annually, full-time (W-2), plus benefits (details shared during the process).Growth: a defined path to grow into a full Business Systems Analyst — and the compensation that comes with it — as your scope and skills expand.Location: fully remote within the United States.HardLoop is an equal opportunity employer.
