Executive Assistant (Full Time) - Waldorf Astoria Las Vegas

The Executive Administrative Assistant will be responsible for supporting the General Manager on a daily basis. This is a crucial role within the Executive Office, which is relied upon heavily to assist in the daily operation of the Hotel. In this capacity, one will be responsible for managing the General Manager's schedule, organizing meetings within and outside the Hotel, creating PowerPoint and Excel documents, arranging executive travel needs, liaising with guests and Owners alike. This position will also include but not limited to, assisting with administrative needs, training and general office projects under the direction of the General Manager. In addition to supporting the General Manager, the Executive Assistant will also support the Hotel Manager role. This individual will also maintain confidentiality and communicate related information to colleagues.Organizational StructureThe Executive Administrative Assistant will report directly to the General Manager. In addition, they will support the Hotel Manager.Duties and Supporting ResponsibilitiesMaintain the General Manager's calendar inclusive of but not limited to scheduling of all appointmentsAnswer telephone calls and handle enquiries professionallyHandle all incoming/outgoing correspondence and documents, maintain filingCommunicate and coordinate with EXCO/Corporate Office/Owners on behalf of the General ManagerPrepare files and documents for periodic meetings chaired or attended by the General ManagerTake meeting minutes at the General Manager's request and maintain all requisite follow up or follow through with the necessary corresponding updatesPrepare presentations and other documentation as required for the Executive Office or as required by the General ManagerThe ability to construct multi-media presentations, presentation materials, status reports as requiredHandle communication with guests on behalf of the Executive OfficeHandle reservations for VIPs when necessary, ensuring that all VIPs and repeat guests requirements are arranged prior to arrival using guest history information and through pre-arrival calls and researchOngoing awareness of the importance of collection of guest history informationHandles all guest comment analysis; Salt, Comment Cards, Letters and Email and appropriate response correspondenceHandles guest complaints expeditiously to complete resolutionCollect and sort out all incoming/outgoing mailPrepare purchase orders, expense report and invoices, keeping track of monthly expenses logged in the public finance checkbookMake domestic and international travel arrangements for the General Manager and organize room reservations for visiting Corporate Team members, handle/process all complimentary requests and barters for salesManage office supplies and par stocksPerform any additional duties as assigned by the General ManagerWhat are we looking for?Customer FocusIs dedicated to meeting the expectations and requirements of internal and external customers; gets first-hand customer information (or preferences) and uses it for improvements in products and services; acts with customers / colleagues in mind.
