Schedule: Monday-Friday 0800-1630 with other shifts as neededLocation: WoodwardHourlyJob SummaryPerforms organizational and administrative services and related secretarial services to supportthe Director(s) and Department. Work requires initiative, independence, analysis andpreparation, judgment and excellent verbal and written communication skills.Essential Function Assists assigned Manager(s) or Director (s) by providing a broad range ofadministrative and secretarial support to include but not limited to the following items: Reviews and responds to correspondence; Flags priority items; Schedules appointments and sets up meetings and project logistics as requested; Coordinates and confirms meetings as appropriate; Reviews, sorts and prioritizes correspondence; Assists in prioritizing work as needed; Coordinates travel arrangements; Prepares presentation materials; and Uses experience and judgment to facilitate goal oriented company-widecommunication. Facilitates tasks and projects via database and document management and control, andappropriate status reporting. Takes minutes of selected meetings. Prepares presentations, distributes agendas andreports in preparation for meetings. Ensures appropriate room and refreshment set-ups.Organizes all committee material for meetings attended by directors and departments. Answers telephones, greets visitors and maintains effective professional and courteouscommunications with the public, patients, staff and sponsors. Responds to all inquiriesin a timely, helpful manner. Ensures high degree of accuracy and editing to provide excellent quality in alldocuments and correspondence. Uses a variety of PC software applications, including Microsoft Office and Internetapplications with a high degree of competency. Assist with in-house printing projects. Assist with special event planning and related functions. Write routine correspondence. Must possess capability to establish and maintain effective working relationships withvendors, clients and staff to include coordination and communication of taskassignments and status reports for work groups, cross-departmental project teams, andvendors. Assists with all department meetings and projects. This is not intended to be an exhaustive list of allMinimum Educationresponsibilities and duties required of personnel so classified.High school diploma or equivalent.Minimum ExperienceMust meet one of the following:Two (2) years of business/secretarial school plus one (1) years relevant experience.Three (3) years relevant experience.Other RequirementsMust be able to type 45 wpm.PreferredOne (1) year of administrative experience in a medical facility.Knowledge of medical terminology.Immunization RequirementsProve Immunity to Hepatitis B, or be immunized, or sign a waiver refusing Hepatitisimmunization. Provide documentation of a PPD test conducted not more than 90 days prior todate of hire, or have a PPD test conducted through TriCore.General Requirements Participates in Quality Assurance programs to ensure that quality standards are met. Assists other administrative areas as needed or directed. Requires the ability to execute a wide range of administrative duties in a fast-paced,demanding environment with rapidly changing priorities. Proficiency with project database organization and maintenance. Ability to deal effectively with difficult and sensitive situations and to maintain a highdegree of confidentiality. Proficient computer skills: including demonstrated proficiency in the use of MicrosoftOffice software, i.e. Excel, Word, PowerPoint and Outlook Experience and judgment to plan and accomplish goals. Effective oral and written communication skills. Excellent grammar, punctuation andspelling. Demonstrated ability to research, assemble and carry out assignments with minimalsupervision utilizing effective time management skills.
