Property Operations Specialist

OverviewProvide comprehensive support for property operations, tenant communication, financial management, and leasing processes. You will manage work orders, coordinate move-ins/outs, and maintain organized records for a property management team based in Florida.ScheduleMonday - Friday, 9:00 AM – 6:00 PM Eastern Time (with 1-hour unpaid break)ResponsibilitiesTenant Communication & SupportPhone and email support for tenant inquiries, concerns, and requestsSchedule appointments, inspections, and handle repair callsManage collections, late payments, and issue remindersRespond to potential tenant inquiries and schedule property showingsWork Order ManagementCreate, process, and track work orders for repairs, maintenance, and evictionsFollow up with vendors, contractors, and tenants for timely completionCoordinate move-in/out processes including inspections and utility transfersFinancial ManagementCreate and send invoices, bills, and receiptsEnsure timely payment of bills and reconcile accountsRecord payments and resolve discrepanciesTenant Screening & LeasingScreen potential tenants (references, credit, rental history, employment)Ensure applicant documentation is completeProvide overviews to property manager/owner for final approvalReporting & DocumentationCreate leases and addendums in Rentvine portalPrepare status reports on property conditions, ongoing tasks, and financialsMaintain organized records of leases, work orders, invoices, and communicationsOnline Listings & Property Management SoftwareList and market properties on Rentvine, Zillow, Craigslist, and social mediaUpdate property information and monitor online reviews in RentvineRequirementsProven experience as a Virtual Assistant, Property Manager, or similar roleMUST BE COMFORTABLE DOING DAILY CHECK-INS WITH THE CLIENTProficiency in property management software and Microsoft Office SuiteExcellent written and verbal communication skills in English and SpanishStrong organizational and time-management skillsBasic accounting skills for invoices, payments, and reconciliationsFamiliarity with tenant screening processes and leasing documentationAbility to work independently and meet deadlines remotelyExperience with online listing platforms and marketing rental propertiesIndependent Contractor PerksPermanent work from homeImmediate hiringHealth Insurance Coverage for eligible locationsNotePlease click the Apply button to complete your application, including the assessment questions, technical check, and voice recording.
