Title: Payroll AdministratorReports to: Payroll and Benefits ManagerDepartment: CorporateClassification: Non-ExemptDate Updated: February 2026Summary:The primary responsibility of the Payroll Administrator is to support employees and management in the accurate and timely processing of payroll, compensation changes, and certified payroll reporting. This position plays a critical role in ensuring payroll accuracy, compliance, and responsiveness, with a strong focus on serving internal customers (employees) with empathy, integrity, and urgency.Core Values:This position will be expected to operate in line with ColonialWebb' s workplace values, which are:Safety: Makes the prevention of injuries and vehicle incidents his/her number one priorityIntegrity: Is truthful and honest in words and actionsEmpathy: Understands and appreciates his/her customers' or teammates' positionsUrgency: Gives immediate attention to important tasks without compromising safetyEssential Functions:Maintain strict adherence to all company safety rules, regulations, procedures, and practices.Prepare and submit Certified Payroll reports for Davis-Bacon projects using LCP Tracker and standard reporting methods; ensure compliance with prevailing wage and contract requirementsEnter and maintain accurate employment data, wages, deductions, compensation changes, and other payroll-related information in payroll systems and company databases.Process compensation changes, including wage increases, promotions, adjustments, and changes resulting from Performance Evaluations, ensuring accurate payroll implementation.Administer wage garnishments, child support orders, tax levies, and other court-ordered deductions in compliance with federal, state, and local regulations.Monitor and manage the Payroll Inbox daily; respond to employee and management inquiries in a timely, professional manner.Execute weekly payroll processing, including commission payroll cycles, ensuring accurate calculation and timely distribution of wages.Research and resolve payroll questions and discrepancies in partnership with field leaders and managers.Set up, review, and distribute payroll-related reports and data to managers.Maintain proper documentation and audit trails for payroll and pay-related changes.Protect the confidentiality of employee payroll and personal information at all times.Perform other duties as assigned by supervisor.Requirements:Possess high school diploma or equivalentPossess and demonstrate excellent communication and customer service skillsPossess three or more years of experience with processing payrollPossess strong mathematical skills and ability to sort, analyze, and understand numerical dataPossess excellent administrative, planning, and organizational skillsAbility to handle a dynamic, evolving, and fast-paced workload, with the ability to timely coordinate and perform concurrent activities and processesDemonstrate skill, experience, and proficiency with technology to include Microsoft Office (especially Excel) and Internet researchingPossess follow-up and follow-through skillsDemonstrate initiative; anticipate, seek out solutions, and implement those solutionsPossess a professional demeanor (appearance, attitude, and behavior)Ability to deal diplomatically and communicate effectively with internal and external customersAbility to work independently without direct supervisionAbility to coordinate and perform multiple activities in a timely mannerAbility to maintain a sense of urgency and remain calm when handling emergenciesPhysical Requirements:The physical demands described here are representative of those that must be met to successfully perform the essential functions of the job.
