Legal Secretary
The RoleThe Legal Secretary will provide comprehensive administrative and legal support to attorneys and legal professionals within a dynamic business practice. Responsibilities include calendar management, travel coordination, document preparation, billing support, client communication, and overall practice management assistance.This role is particularly well-suited for someone who enjoys balancing executive support responsibilities with legal administrative work and thrives in a collaborative team environment.Key ResponsibilitiesAttorney & Executive SupportManage complex calendars, scheduling, and meeting coordination for multiple attorneysCoordinate domestic and international travel arrangements and itinerariesServe as a primary point of contact for attorney scheduling and administrative requestsAssist with email management, client communications, and meeting logisticsCoordinate virtual and in-person meetings and conference arrangementsLegal & Administrative SupportPrepare, revise, proofread, and format legal and business documentsAssist with document redlining, revisions, and final productionMaintain electronic files and document management systemsSupport new matter intake processes and administrative documentationCoordinate signatures, document execution, and closing materialsBilling & Practice SupportProcess attorney time entry, invoices, expense reports, reimbursements, and billing-related tasksAssist with pre-bill review and administrative financial processesSupport business development activities and client relationship management effortsCoordinate administrative aspects of transactions, projects, and client mattersTeam CollaborationProvide backup support to colleagues as neededMaintain professional relationships with attorneys, clients, and internal teamsContribute to a collaborative support environment focused on responsiveness and service excellenceQualification4+ years of legal administrative, legal secretary, or executive support experience within a law firm or legal departmentStrong calendar management and scheduling experienceExperience supporting multiple attorneys or stakeholders simultaneouslyStrong proficiency with Microsoft Word, Outlook, and other office technologiesExcellent written communication, proofreading, and organizational skillsAbility to prioritize effectively in a deadline-driven environmentPreferredExperience supporting corporate, transactional, or business law practicesExperience in a large or mid-sized law firm environmentFamiliarity with document management, billing, travel, and legal support systemsBachelor's degree or equivalent professional experienceProfessional AttributesHighly organized and detail-orientedProfessional and polished with strong client service skillsStrong sense of urgency and responsivenessComfortable managing competing prioritiesTeam-oriented and collaborativeAble to work independently with minimal supervisionStrong follow-through and accountabilityWork EnvironmentHybrid schedule (4 days onsite / 1 day remote)Fast-paced corporate legal practiceCollaborative support team environmentOccasional overtime based on business need
