Seasonal Administrative Support Specialist - Inspections

Job Title This position is responsible for providing specialized administrative support for the fire inspection division.Examples Of Duties Major duties include:Providing administrative support to the Fire Chief, Deputy Chief, and the Captain of the Fire Inspection's Division as needed.Answering telephone and greeting visitors; providing information and assistance; referring to appropriate personnel; responding to email correspondence.Maintaining records of citations and associated fees.Receiving and processing complaints.Accepting applications for short-term rental and beachside fire permits; requesting and accepting revisions to permits as needed.Scheduling all inspections and inputting the inspection results into iWorK.Reconciling division invoices and coding of payments.Assisting as division records custodian.Assisting with reconciling monthly purchase card statements.Reviewing special event applications.Creating reports and graphs for the Fire Inspections Division for the City Council and department head meetings.Maintaining the Fire Inspection Division's calendar.Ordering office supplies as needed.Notarizing documents.Typical Qualifications Minimum qualifications include:Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
