Department: Administration Supervisor: Chief Executive Officer Work Location: Community Services Center. 105 E Market Street, Leesburg, VA 20176 Full/Part-Time: Full-Time Regular/Casual: Regular (40 hrs/wk) Salaried/Hourly: Salaried Maximum Hrs/Week: 40 Exempt/Non-Exempt: Exempt Benefit Class: None Schedule: 9:00–5:00, M-F Salary: $40,000 to $45,000 Key Responsibilities Internal Administration/Team Support (65%) Provide general administrative support to the Leadership Team– e.g., assisting with scheduling, filing, copying, scanning, meeting minutes, inventory tracking. Manage office supplies inventory and ordering. Assist with report writing and editing. Record and process in-kind donations. Manage general appearance of LAWS Community Service Center’s lobby, waiting room, and common areas to assure cleanliness and inclusive, trauma-informed, welcoming look and feel. Manage LAWS general email inbox and incoming/outgoing LAWS and client mail, including timely forwarding mail to appropriate team members. When requested by COO or COO’s designee, assist with facility maintenance project coordination. Manage security system maintenance, upgrades, and installations. Update records as needed. Serve as liaison between team members and IT and telecommunications vendors for needed IT and telecom support and maintenance and upgrade/installation communications. Public Engagement (30%) Answer main phone line and the secured door at the Community Services Center (CSC), demonstrating knowledge, warmth, and empathy to refer or respond to clients, in-kind donors, and general inquiries. Note: This position physically sits in the lobby of the secured building, acting as the “face” of LAWS for all visitors. In partnership with the development team and others as appropriate, assist with posting and managing communications (via social media, website, traditional media) relevant to LAWS’ mission, to include domestic violence and sexual assault prevention and general education; promotion of special events, appeals, and campaigns; and gratitude to supporters. Maintain up-to-date knowledge of LAWS’ mission, goals, and services. Gain and maintain awareness of best practices in LAWS’ work and of LAWS’ key community partners. Support development team in expressing gratitude to donors e.g., through thank you letters and phone calls. Assist volunteers at CSC with onboarding and task completion. Mail DOW (grant-related) surveys and log number sent. Special Events and Projects (5%) Assist in coordinating fundraising events. Other duties as assigned.
