Administrative Assistant

To Apply: Please review the job description and send a resume and brief cover letter to coordinator@hillsboromarkets.org Summary: The primary role is to assist and maintain HFM office organization and provide outstanding customer service to customers, vendors, sponsors, volunteers, and partners. This position will be a primary point of contact at the HFM office and HFM markets. Other essential functions include marketing support, website updates, social media scheduling, other office duties. Core Functions: 1. Establish and maintain office and overall organization and processes for HFM. a. Maintain office/organization master calendar and tracking b. Provide excellent customer service at all times c. Answer office phones, emails, and greet walk‐in customers 2. Maintain and order office equipment and supplies 3. Maintain clean office environment 4. Work with Executive Director and Market Coordinator to support market functions a. Maintain vendor records using MMM software and paper files b. Maintain market forms and documents, including filing and copying c. Maintain and prepare market totes and supplies for each market d. Provide accurate market tracking, including gross sales, insurance, crowd counts, volunteers, etc 5. Assist with market program and event organization 6. Operate volunteer & internship program, including volunteer coordination, recruitment, and retention 7. Plan and implement marketing and communication efforts with Executive Director and Market Coordinator Other Responsibilities 1. Gain a thorough understanding of HFM’s Vendor Handbook, Signage Plan, Traffic Plan, Emergency Management Plan, and Employee Manual. Education/experience High school graduate or equivalent preferred Administrative experience preferred Experience in counter sales or similar customer service position Strong customer service skills Punctual and dependable Team‐oriented Self‐motivated and able to work independently Valid Oregon drivers’ license Able to read and understand map Strong math skills Skilled in using computer tablets and computers Word and Excel software Able to count tokens and money accurately Able to write legibly Complete multiple tasks within time constraints Pay: $18.50 per hour Benefits: Flexible schedule Work Location: In person
