Personal Assistant
Overview
We are seeking a highly organized and proactive Personal Assistant to support executive leadership with a variety of administrative and project coordination tasks. This role requires exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. The ideal candidate will have prior office management experience, proficiency in various software tools, and a professional demeanor to handle sensitive information with discretion. This is a paid position designed to facilitate smooth daily operations and enhance overall productivity.
Responsibilities
Manage and coordinate complex calendars using Microsoft Outlook Calendar and Google Workspace, including scheduling meetings, appointments, and events.
Provide executive administrative support such as drafting correspondence, proofreading documents, and transcribing audio or written materials.
Organize and plan events, meetings, and travel arrangements with attention to detail and logistical efficiency.
Handle phone etiquette for multi-line phone systems, screen calls, and direct inquiries appropriately.
Perform data entry, filing, and maintain organized records for easy retrieval.
Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping functions.
Support office management duties including front desk responsibilities, customer service interactions, and office supply management.
Coordinate projects across departments ensuring deadlines are met through effective project management skills.
Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and DocuSign for document signing processes.
Maintain confidentiality of sensitive information while providing comprehensive personal assistance.
Skills
Proven experience in personal assistance or executive administrative support roles with strong organizational skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and Microsoft Outlook Calendar.
Excellent typing speed with high accuracy; capable of transcription and proofreading tasks.
Strong project coordination abilities with experience in event planning and office management.
Exceptional phone etiquette skills with experience handling multi-line phone systems.
Demonstrated ability to manage calendars efficiently and prioritize tasks effectively.
Computer literacy across various platforms with familiarity in data entry, filing systems, and clerical procedures.
Customer service experience with professional communication skills both written and verbal.
Ability to work independently with minimal supervision while maintaining a proactive approach to daily responsibilities. Job Type: Part-time
Pay: $20.00 - $25.00 per hour
