Our campaigns elevate underrecognized causes that vitally need support to affect positive change in the world for animals, people and the planet.Working at the intersection of climate change and animal welfare, our grantmaking is a collaborative process with our on-the-ground local partners as we work to serve their needs and learn from their successes to make the greatest impact.The RoleWELL/BEINGS seeks a highly organized, dynamic, detail-oriented, efficient, and dedicated development professional to join our small team. The Programs Coordinator (PC) partners with the Co-Founders of WELL/BEINGS to work closely with all organizational departments to manage relationships with the organization's programmatic partners.The ideal candidate has exceptional relationship management skills, is organized and proactive, and has a background in community-centered program execution or grantmaking. While the role will predominantly be 20 hours per week, there may be some weeks requiring awareness of your phone after hours or on weekends in case of emergencies. Additionally, during events or high travel (approx. 8-10 weeks a year), longer hours will be needed.Key ResponsibilitiesPlease note that the list below is not exhaustive.Programmatic WorkOversee all programmatic work with partner organizationsManage the end-to-end grants process in collaboration with consultants and the Advisory BoardIssue and manage RFPsCoordinate the review and evaluation process with Advisory membersOrganize and attend site visits (virtual or in-person)Monitor grant progress through scheduled check-ins and reportingSupport data collection for grant impact assessmentsPrepare summaries, updates, and presentations for internal and external stakeholdersAssist in decisions on renewals and future funding opportunitiesMaintain clear, ongoing communication with program consultants and advisory members to align on goals, timelines, and impactServe as the primary liaison to program partners, supporting their experience and facilitating meaningful engagementAssist in developing and refining partner-facing tools such as application templates, reporting frameworks, and communicationsTrack program metrics and support the creation of internal and public-facing impact reportsStakeholder EngagementHelp coordinate and facilitate regular meetings with program consultants and advisory membersDocument and follow through on the next steps from program-related discussionsMaintain organized records of all programmatic communications, deliverables, and timelinesFoster relationships with current and potential partners by attending relevant events or community activities on behalf of the organizationEvents & LogisticsHelp coordinate logistics for programmatic site visits, retreats, convenings, and community events, including travel, accommodations, activities, and partner engagementWork closely with event planners, vendors, and local liaisons to ensure the smooth execution of eventsRespond to last-minute changes or partner needs with calmness and flexibilityCollaborate with internal teams (Operations, Marketing, Development) to ensure alignment on timelines, materials, and communicationsAssist with events and fundraiser planning–working with event planners and vendors, and acting as liaison and point of contact for both sidesQualificationsA Bachelor's degree and a minimum of 2-3 years of experience in a non-profit and operations management role. The candidate should be based in the New York Metropolitan Area, comfortable working in a virtual/hybrid office environment, and available for in-person meetings. Some in-person/remote evenings and weekends are required.
