Website: https://247mesa.com/ Job Title: Customer Fulfillment Coordinator Job Type: Full-Time Location: Loveland, CO Casper, WY Reports to: Sales Director, Global Power Solutions Job Description: The Customer Fulfillment Coordinator will be responsible for managing the order fulfillment process from start to finish, ensuring timely and accurate delivery of Mesa's power generation equipment to customers. This role will involve coordinating all post-sale activities, including order entry, logistics, customer communications, and after- sales support. The ideal candidate will serve as a central point of accountability in the sales process, collaborating closely with the sales and service teams to ensure tasks related to order fulfillment and customer service are effectively executed. This critical position requires exceptional organizational skills, attention to detail, and the ability to collaborate across diverse teams. The Customer Fulfillment Coordinator will contribute to the division's success by optimizing processes, fostering clear communication, and supporting the team's overall effectiveness. Essential Duties: Manage open orders and ensure timely processing and fulfillment, coordinating with internal teams and external partners as necessary. Coordinate shipment and delivery logistics for equipment orders. Work with the sales and service teams to address customer inquiries and resolve issues related to orders, payments, and shipments, providing exceptional customer service. Assist both sales and service teams by facilitating communication and ensuring alignment on customer needs and fulfillment processes. Proactively identify and resolve potential issues in the fulfillment process, ensuring minimal disruption to customer orders. Analyze sales data and trends to identify opportunities for improvements in order management and fulfillment processes, recommending and implementing changes as necessary. Identify and implement process improvements to enhance efficiency and accuracy in order management and fulfillment. Provide training and support to sales and service teams on order management processes and tools. Maintain accurate records of orders, payments, and shipments, and provide regular reports on order status and fulfillment metrics, systematically archiving sales documents including PO documentation, invoices, and other critical sales documents. Ensure all order processing and fulfillment activities comply with company policies and relevant regulations, maintaining thorough documentation for audit purposes. Assist with CRM data entry and coordination related to order management. Prioritize and track key orders and tasks related to customer visits, training requests, and delivery schedules. Develop and maintain strong relationships with key accounts, dealers, and customers by providing regular updates, addressing concerns, and tailoring support plans. Provide after-sales support and follow-ups to ensure customer satisfaction and identify opportunities for additional sales. Manage document SharePoint sites for customers. Implement and manage customer satisfaction surveys to gather feedback on Mesas products and services and analyze results to identify areas for improvement. Performs all other duties as assigned. Education: Required: High school diploma or equivalent. Preferred: Associate degree in Business Administration, Logistics, Supply Chain Management, or a related field. Relevant technical or professional certifications related to sales operations, order fulfillment, or customer relationship management. Experience: Required: 2+ years of Mesa experience Proven working knowledge of NAV or similar enterprise resource planning (ERP) systems Preferred: Prior experience with sales operations and process optimization. Familiarity with CRM systems and tools. Honorably discharged service veteran. Certifications, Licenses & Registrations: Must possess and maintain a valid drivers license and a driving record satisfactory to the company and its insurers. Knowledge, Skills, & Abilities: Proficient in process improvement methodologies. Able to work independently and ensure tasks are completed with little supervision. Capable of thriving in high-pressure environments and managing interruptions and conflicts effectively. Possess a positive and energetic self-starter attitude, with excellent drive, ambition and work ethic Strong team player with adaptability to fast-paced and ambiguous work settings. Excellent organizational and project management abilities, with strong prioritization skills. Effective communication skills for conveying ideas and meeting deadlines. Communication skills must be excellent both written and verbal. Intermediate Microsoft Office skills.
