Role DescriptionWe are seeking a highly organized and motivated Project Assistant to join our team, supporting the Project Management department in delivering high-quality commercial electrical projects. This role serves as a vital hub between office administration and field operations, ensuring that project documentation, material logistics, and communication flow efficiently. The ideal candidate will assist 2–3 Project Managers with multiple projects, focusing on documentation control, procurement support, and subcontractor coordination. Key ResponsibilitiesDocumentation Management: Initiate, track, and log RFIs, submittals, construction drawings/specs, and transmittals using industry software (e.g., Procore, Autodesk, Bluebeam). Project Support: Assist in setting up project folders, filing construction documents, assembling job binders, and purge unused documents from completed jobs. Procurement & Logistics: Process purchase orders (POs), coordinate material deliveries, and retrieve large order ship schedules from distributors for updating the project team. Communication Hub: Serve as a point of contact for field superintendents, subcontractors, and vendors to facilitate project needs. Administrative Tasks: Assist with preparing change orders, reviewing contracts, creating panel schedules, and securing project permits. Closeout: Compile final documentation, including as-built drawings, O&M (Operation & Maintenance) manuals, and warranty documents for project turnover. QualificationsExperience: 2+ years of administrative or project support experience, preferably in the electrical, construction, or engineering industry. Software Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is required. Familiarity with Procore, Autodesk, ComputerEase, Conest, Bluebeam, or other construction management software is a strong plus. Organizational Skills: Exceptional attention to detail and ability to multitask under tight deadlines while supporting multiple project managers. Communication: Strong verbal and written communication skills to handle subcontractor and client inquiries tactfully.
