The Billing Specialist manages all aspects of the client billing process for assigned attorneys, ensuring accuracy, compliance with client guidelines, and timely invoice submission through various e-billing systems. This role requires strong attention to detail, sound judgment in interpreting guidelines, and the ability to collaborate effectively with attorneys and clients alike.Core ResponsibilitiesManage the full monthly billing cycle, including generating draft bills, applying attorney edits, and finalizing client invoices.Prepare and upload invoices in LEDES format to client e-billing portals (e.g., TyMetrix, CounselLink, Legal Tracker, Collaborati, Legal-X).Review time and expense entries for compliance with client-specific Outside Counsel Guidelines, including restrictions on block billing, task-based billing, and UTBMS coding requirements.Monitor e-billing systems for invoice rejections, troubleshoot technical issues, and collaborate with attorneys to draft appeals for disputed or reduced charges.Set up new timekeepers in client systems, submit rate approvals, and maintain current rate information.Prepare and submit monthly or quarterly accruals to clients as required.Serve as a liaison between clients' billing teams and firm attorneys to resolve billing inquiries and payment delays.Monitor accounts receivable aging and follow up on outstanding balances.Support month-end and year-end billing close processes and generate reports for management as needed.QualificationsMinimum of two (2) years of billing experience in a law firm or professional services environment required.Experience with legal billing software (e.g., Aderant, Elite, ProLaw, Tabs3) and e-billing platforms strongly preferred.Working knowledge of LEDES file formats, UTBMS task codes, and Outside Counsel Guidelines.Associate’s degree or higher in Accounting, Business Administration, or a related field preferred; equivalent experience considered.Proficiency in Microsoft Office Suite, particularly Excel.Key CompetenciesExceptional attention to detail to identify noncompliant billing entries that could trigger automated rejections.Analytical ability to interpret complex Outside Counsel Guidelines and translate them into clear billing practices.Persistence and problem-solving skills to navigate unresponsive portals and delayed payment cycles.Professional communication skills with the confidence to request time entry revisions from attorneys while maintaining positive working relationships.Ability to manage multiple priorities and meet deadlines in a fast-paced environment.Commitment to confidentiality of sensitive financial and client information.Compensation, Benefits & FlexibilityStarting salary: $55,000 (commensurate with experience).
