We are looking to add a versatile Executive Assistant/Project Manager to the team that will support the General Manager/Senior Vice President of Rose Quarter Operations.
As our Executive Assistant/Project Manager, you will support with scheduling, communication, event planning, coordination, and other special projects specific to our venue’s operational needs. The ideal candidate for this role has outstanding diligence, sophisticated computer proficiency, an innovative mindset, and enjoys working in a fast-paced environment.
DAY-TO-DAY:
Providing day-to-day administrative support to the General Manager and senior leadership team.
Maintaining schedules and actively guiding leaders throughout the day to ensure preparation for upcoming meetings and events.
Providing expense support for our internal reimbursement process.
Scheduling travel, events, meetings, planning itineraries and coordinating logistics for executives and associates.
Handle confidential information with discretion, maintaining the highest level of professionalism.
Support the GM/SVP in managing relationships with key partners, vendors, and stakeholders.
Collaborate with various departments to streamline processes and improve efficiency in daily operations.
Anticipate the needs of the GM/SVP and proactively address issues before they arise.
Attend meetings as serve in a PM role, including notetaking, agenda creation, action item follow-up, deck creation, and other duties as assigned
WE’D LIKE TO HEAR FROM YOU IF YOU:
Have 3+ years of experience as an Executive Assistant or Project Manager, supporting senior executives.
Possess a Project Management Certification or have completed a project management course.
Demonstrate exceptional organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
Are an effective communicator, both verbally and in writing, with strong attention to detail.
Exhibit strong problem-solving skills, with the ability to anticipate needs and take initiative.
Are proficient in Microsoft Office Suite and project management software.
Can create order in ambiguous situations and enjoy learning new concepts quickly.
Have the flexibility to support leaders outside normal business hours during events, games, or travel.
Uphold a high level of discretion and professionalism when handling confidential information.
Thrive in dynamic environments, focusing on results and meeting deadlines.
Bring strong character, integrity, passion, and a sense of humor to your work.
Are versatile and able to collaborate effectively across departments.
