This position provides administrative support across departments including Operations, Finance, Human Resources, Marketing, and Business Development, while also assisting with office management and coordination tasks.This role requires strong organizational skills, attention to detail, excellent communication, and a proactive, problem-solving mindset.ResponsibilitiesOffice & Facility ManagementSupport daily office operations and administrative functions to ensure smooth day-to-day workflowManage office supplies, equipment, and vendor relationships, including ordering and inventory trackingCoordinate office logistics including meetings, scheduling, and conference room preparationMaintain and update office policies and procedures as neededOversee annual business filings, licenses, and renewalsCoordinate general facility needs and act as point of contact for office upkeep and service requestsAnswer the office door and professionally receive visitors, clients, vendors, and deliveriesFacilitate and assist with in-office "read and sign" sessions, including coordinating arrivals, preparing space, and ensuring proper documentation handling during legal review/signing appointmentsCoordinate general facility needs and act as point of contact for office upkeep and service requestsEnsure breakrooms, conference rooms, and shared spaces are regularly stocked, clean, and well-maintained to support a professional and welcoming environmentCross-Departmental SupportAssist with client payment processing and administrative billing supportSupport Business Development and Marketing teams with outreach and sales initiativesCreate and manage digital business cards for court reporters and staffProvide general administrative support to leadership and departments as neededOperations/Human Resources SupportCollaborate with HR & hiring managers to onboard new hiresCoordinate with IT to ensure tickets are handled in a timely mannerAssist with setup and preparation of desktops/workstations for new hires in coordination with ITPlan & coordinate monthly team building and engagement eventsProvide support to HR ManagerQualifications:3–5 years of experience in an administrative, office support, or coordination roleStrong attention to detail and accuracyExcellent organizational and time management skillsSelf-starter with strong initiative and ability to work independentlyStrong written and verbal communication skillsProfessional interpersonal skills and team-oriented mindsetStrong problem-solving abilitiesProficiency in Microsoft Office and Google WorkspaceStrong organizational and time management skills, and ability to prioritizeMust be a self-starter and drivenExcellent communication and interpersonal skillsStrong problem-solving skills and analytical abilitiesMust be proficient with Microsoft Office and Google SuiteBenefits:Health, dental, and vision insurance coverage.Retirement savings plan.Professional development opportunities.A positive and collaborative work environment.Work Setting:In-Person at the Atlanta, GA (Chamblee area)LocationAs an equal opportunity employer, Elizabeth Gallo Court Reporting does not discriminate on the basis of race, color, national origin, religion, sex, sexual orientation, age, veteran status, disability or genetic information, gender identity, gender expression or any other characteristic protected by law in its employment.
