We are looking for an Administrative Assistant who will work closely with clients to determine their rehabilitation needs and to provide individualized treatment by providing structured as well as holistic healing. Supports clients with foundational well-being that develops the skills needed to overcome, heal & grow to sustain long-term sobriety.
The Administrative Assistant will be responsible for receptionist and front desk duties as well as Clinical and Medical scheduling, coordination of client events, and tracking of client monthly services.
What will your day look like? You will:
Warmly greet visitors to our facility; answer and direct phone calls promptly, fielding solicitors/cold sales calls; and maintain office efficiency arranging necessary repairs.
Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes; and sorting and distributing incoming mail
Prepare coffee & snacks for client sessions daily
Planning and preparing client events for holidays and others as assigned.
Creating a weekly schedule to cover all Clinical, Medical, UA, and Group Sessions.
Acting as liaison for outside vendors entering the building
Coordinate lunch order for intake clients, staff trainings, other as directed by management.
Coordinate with Facilities for supply ordering for Clinical Building
Office extension list maintenance and providing updates to staff.
Other related tasks as assigned by supervisor.
What you will need for this position:
High school Diploma; Required
Bachelor’s degree; Preferred
2-3 years experience as Medical Receptionist, Office Manager or Executive Assistant, or related field
