What you'll do:Answer phones and greet clients in a friendly, positive, and warm mannerKeep the office environment neat, tidy, and organized to ensure a welcoming atmosphereMaintain the telecommunication system, including welcome screens, voicemails, telephone messages, and RepChat textsBaking fresh cookies daily as part of the guest experienceBe the first point of contact for prospects and clients while building and improving client relationshipsManage the advisor's calendar, including appointment rescheduling and updating the office calendar with advisor schedules, meetings, and eventsEnsure beverages and snacks are available for clients and maintain a running list of pantry items neededMaintain the firm's CRM system (Salesforce) through accurate data entry and database managementSort and distribute incoming mailRetrieve client files as needed by the teamKeep all brochures, packets, and handouts stocked and up to dateContact clients to confirm appointments via email, text, or phone calls, and provide reminders of time and location two to three days in advanceWorking alongside the Marketing Department on calls to clients and prospects as neededBe available for approximately four client events throughout the year (4-5 hours approximately per event)Other office and administrative duties as needed What We're Looking For:High school diploma or equivalent qualification1+ years' experience in a busy office environmentPrior experience in customer service or administrative role is preferredDemonstrates proficiency and confidence working in Microsoft Office (Outlook, Word, Excel)Embraces change and can adapt quickly to evolving processesCollaborative team player willing to assist othersDemonstrates exceptional organizational skills by efficiently managing multiple requests and prioritizing time sensitive tasksExcellent communication; written and verbalExhibits meticulous attention to detail and a commitment to accuracySkilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidanceSelf-starter who takes initiative and works well independentlyDemonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters What You'll Get: Pay & Perks: $24.00/hr. with bonus potentialMedical, dental and vision insurance401k plan with VOYA with up to 5% employer matchProfit sharingEmployer paid $50k life insurance policyPTO and 10 paid holidaysAnnual trip and fun firm sponsored activities Schedule: In office: Monday - Thursday, 7:45am - 5:00pm, Friday's 7:45am - 1:00pmFlexibility to attend events and activities that may take place outside of standard office hours PLEASE NOTE: All inquiries regarding this position should be directed to our recruiting team at info@advisortalentsolutions.com.
