Project Assistant

We are seeking a highly organized and detail-oriented Project Assistant to support our Project Management team. This role plays a key part in keeping projects running smoothly by managing documentation, coordinating subcontractor information, and assisting with project administration from startup through closeout. WHAT YOU’LL DO Provide administrative and coordination support to the Project Management team Process subcontract documents, including purchase orders and contract documentation Collect and manage subcontractor insurance, W9s, licenses, and project contact information Prepare and track Field Work Directives (FWDs) and subcontractor change orders Assist with owner pay applications, reimbursable invoices, and related reporting Coordinate submittals and assist with project closeout documentation, including warranties Maintain organized project files and accurate status reporting Attend project meetings and support progress tracking and follow-up items Communicate with subcontractors and vendors to ensure timely receipt of required documentation Support overall project operations and contribute to a positive client and team experience WHAT YOU BRING 3–5+ years of administrative experience, preferably in commercial construction Strong organizational skills with the ability to manage multiple tasks and deadlines Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with Procore or similar construction management software preferred Familiarity with DocuSign, AIA contract documents, and construction cost processes is a plus Ability to work independently while supporting a collaborative team environment High level of attention to detail and accuracy in documentation Professional communication skills when working with subcontractors and vendors High School Diploma or equivalent required; additional experience or education preferred COMPENSATION & BENEFITS Salary: $60,000 – $80,000 per year DOE Benefits: Medical, dental, vision, life insurance, FSA, 401(k), PTO, 7 paid holidays Shames Construction Company is an equal opportunity employer.
