Position Overview
We're looking for a reliable, detail-oriented Front Office & Administrative Assistant to support daily operations.
This role is the first point of contact for clients and keeps the office running smoothly. You'll handle front-office responsibilities and administrative processing so our Client Relations and Tax teams can focus on higher-level client work.
This is an in-office position, Monday–Friday. Hours vary seasonally (details below).
What You'll Do
Front Office & Client Support
Answer and direct incoming phone calls professionally
Schedule appointments and support calendar coordination
Greet clients and assist with in-office visits
Route client requests to the right team member
Administrative & Office Operations
Scan, file, and organize client documents (physical and digital)
Maintain orderly client files and records
Process intake packets and track documents
Handle mail, filing deadlines, and general office operations
Learn and use our firm management software
Team Support
Work closely with the Client Relations Specialist and tax team
Identify administrative needs and address them proactively
Help maintain a calm, organized office environment

What Success Looks Like
After the first few months, phones and scheduling run smoothly. Client interactions feel welcoming and professional. Our client-facing team is freed from routine admin tasks. The office operates proactively instead of reactively.
If things are running so smoothly that nothing feels urgent, you're doing it right.

Compensation & Schedule
Pay: $18–$20 per hour, based on experience
Schedule: In-office, Monday–Friday
Tax Season (roughly January–April): Around 40 hours per week. Later afternoon coverage required. Saturday hours required.
Outside Tax Season: Around 30–32 hours per week. No Saturdays.
We work hard during peak seasons and intentionally create balance when demand allows.
