The company sets the standard for electronic music events, combining sophisticated production values with deep industry relationships with world-class artists.Position Summary The Part-Time Office Assistant is the primary presence and organizational backbone of our office, ensuring a welcoming, clean, and highly functional environment for a fast-paced music event producer. This role requires a proactive mindset, exceptional communication skills, and an eagerness to anticipate the team's needs, managing everything from guest reception to essential supply inventory. This role will report to our office in Hollywood and the hours will be between 25-28 per week with a rate between $20-$25 per hour. Key Responsibilities Answer phone calls - take a message and email the intended partyManage the Lost & Found for the clubs, coordinating pick-up with the customerAnticipating needs- maintain a constant awareness of team needs and jump in to assist with administrative, organizational, or logistical tasks as required.Lock the back door and gate at 5pmGreet guests - Offer refreshments, restroom and confirm parking location is safeCollect mail - Mailbox is a block away plus sort and distributeDrop-off mail at USPS or as instructedGrocery shopping Email staff for requests, dietary restrictions and substitute Take time in the morning or afternoon to make the trip and return Use Company Card, submit receipt to Accounting Stock kitchenMaintain office supplies Take ownership of office organization and supply storage Place online orders with various suppliers and submit receipts to finance Maintain Amazon Business account: Place and track orders, receive and distribute deliveries Replace Brita water filters as recommended, order filters when needed Assign PH water pick-up: Schedule someone to bring cases of water from Sound to the office Weekly: Check printer ink/toner Daily: Check printer paper traysOffice maintenance Monthly: Drop off rent payment checks to our property manager Coordinate with vendors who clean the office weekly, if necessary or a deep clean is requested Liaise with vendors for maintenance issues Daily: Wipe tables after lunchtime if dirty Daily: Wipe kitchen and bathroom counters throughout the day Daily: Load and run Dishwasher EOD Assign trash duties: Schedule someone to take all trash to the dumpster EOD Maintain coffee maker's bean and water levels Confirm lunch will be served on Tuesdays and Fridays & assist with table setting and dishesPrinting meeting or promotional materials as instructedWristbands, drink tickets, & cash outsOrder wristbands as needed, confirm orders when delivered, sort & store neatlyWeekly: count out wristbands, put in dated envelopes, and deliver to the club officeWeekly: cut and stamp tickets for shows, put in dated envelopes, deliver to club officeDaily: Pick-up cash out envelopes from the club and deliver to accountingTake cash out boxes to storage after 2 months / chargebacks are finalized with accountingOperations team and Executive support Assist with a variety of tasks including processing merchandise orders, ordering supplies, ad hoc administrative tasks Manage guest lists on behalf of the Director of Operations Support senior leadership, including our Director of Operations, with administrative tasks such as purchasing flights or creating a travel itinerary Miscellaneous errands to assist all departments Take items to / retrieve items from storage or venuesQualificationsProven experience in an office support, administrative, or guest services role is strongly preferred1-2 years in a comparable role with a fast-paced companyA positive, professional, and friendly demeanor with excellent interpersonal communication skillsHighly organized, reliable, and possessing strong time management abilities to handle multiple priorities simultaneouslyA strong sense of initiative and a "can-do" attitude; the ability to identify needs and solve problems without direct instructionMust be able to lift up to 25 pounds using proper lifting techniquesProficiency in Microsoft Office Suite (Word, Excel) or Google Workspace (Docs, Sheets, Gmail)Must be able to work reliably during core business hours, [e.g., 9:00 PM - 5:00 PM, Monday - Friday]This is a part time position and the hours will be between 25-28 per week
