This is a full-time, on-site role reporting to the Senior Executive Assistant.Essential Job Functions:Serve as the first point of contact for visitors and employees; manage access and set the tone for a professional, welcoming environmentAssist with scheduling, calendar management, and coverage for the Senior Executive Assistant as neededRecord meeting minutes, coordinate executive and cross-departmental meetings, and virtual conferences; play a key role in organizing and attending larger eventsSet up and break down meeting rooms, including catering, A/V, and seating, support internal events and client meetings end-to-endDraft internal and external communications, including memos, emails, presentations, and reportsScreen and direct phone calls, manage incoming and outgoing mail, packages, and courier servicesMaintain office supplies inventory, coordinate vendor relationships, and manage facilities requestsOrganize and book travel arrangements, assist employees with travel logistics and related inquiriesEnsure all documents are properly filed and in compliance with applicable record retention policiesThis position requires approximately 10% travel; must be comfortable commuting to the Avenel, NJ office on a full-time basisMust be able to perform all essential job functions with or without reasonable accommodationQualifications for the PositionPrevious experience in office coordination, administrative support, or a customer-facing roleProficient with Microsoft 365 (Word, Excel, PowerPoint, Outlook) and comfortable with technologyStrong written and verbal communication skillsDetail-oriented and highly organized with the ability to manage competing prioritiesAdaptable and comfortable with ambiguity; able to deal well with change; tackle ad hoc projects with a sure, Ill figure it out attitude; resourcefulProfessional, discreet, and able to maintain confidential informationAbility to work collaboratively across teams and with all levels of the organizationOffering:Hourly payMedical, dental, and vision plans401(k) with company matchVacation, sick, and PTO timeDynamic company culture in a global environment
