Administrative Assistant (Business & legal affairs)
Job Description:The Business & Legal Affairs Team is looking for an Administrative Assistant who has superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and work on tight deadlines in a high-pressure environment is crucial. A "can-do" attitude is essential.Duties:Provide administrative support for multiple attorneysProvide general support to Business & Legal Affairs team, as neededCoordinate and prioritize requests appropriately with the utmost professionalism and courtesyDigital filing for the departmentReview incoming document deliveries and distribute accordinglyInternal document distribution for entire business unitMaintain a strong working knowledge of employees, and important external contactsArrange meetings and conference calls via telephone and emailRegular meeting prep, coordination, and notesPromptly address any IT issuesInteract with vendors and promptly process invoicesCreate and send grammatically/punctually correct internal/external company communicationMonthly expenses, reconciliation, and processing such as travel & entertainment expensesMake travel arrangements and complete travel and expense reportsResponsible for drafting cover letters for physical package containing legal documents & contractsMaintain contacts and calendar informationMaintain Business & Legal Affairs status reportProof legal documents and administer execution processManage office suppliesAdditional duties as assignedSkills2 - 3 years of Administrative Assistant experienceMust be discrete and maintain absolute confidentiality as this position regularly handles sensitive information.Legal assistant experience a plus.Excellent time management skillsExcellent written and verbal communicationStrong proficiency and working knowledge of Microsoft Office ProductsCreative skills a plus (Adobe Creative Suite, Keynote)Ability to work under limited supervision and with multiple individuals in a fast paced and dynamic environment.Ability to work well and collaborate with executives and other support staff.Ability to interact comfortably and effectively with external partners and clientsHigh attention to detail, excellent follow-through, problem-solving and organizational skillsSelf-motivated, proactive, and resourcefulFlexible - able to adjust to changing priorities, and able to multi-taskExcellent customer service skills
