Admin Assistant to IR team at Midtown Fund

Our client, a rapidly growing wealth management firm, is seeking a Team Executive Assistant / Administrative Assistant to support a group of Investor Relations professionals. This is a highly visible role requiring strong organizational skills, attention to detail, and the ability to operate effectively in a fast-paced, client-focused environment.The ideal candidate is polished, proactive, and service-oriented, with experience supporting multiple professionals and managing competing priorities. This role requires someone who is a strong communicator, comfortable interacting with senior stakeholders and clients, and able to anticipate needs while maintaining a high level of discretion. The right person will thrive in a collaborative environment and enjoy being a key partner to their team. This role is hybrid 3-4x a week in their Midtown office. RESPONSIBILITIES:Provide comprehensive administrative support to a team of Advisory professionalsManage complex calendars, scheduling internal and external meetingsCoordinate meeting logistics including conference rooms, videoconferencing, and cateringPrepare and organize materials for meetings and client interactionsArrange domestic travel including flights, hotels, and transportationPrepare and submit expense reports using ConcurTrack deliverables, follow-ups, and key deadlines for the teamServe as a point of contact for internal and external stakeholdersAssist with client-related coordination and communicationsPartner with internal administrative and hospitality teams to support events and office initiativesSupport ad hoc projects and team needs as they ariseREQUIREMENTS:3–6+ years of experience in an administrative or Executive Assistant roleExperience supporting multiple professionals in a fast-paced environmentStrong organizational skills and attention to detailExcellent written and verbal communication skillsProfessional, polished demeanor with strong interpersonal skillsAbility to handle confidential information with discretionProactive, solutions-oriented mindset with strong follow-throughProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Concur a plusTeam-oriented with a collaborative approachHOURS:8:30am–5:30pmHybrid onsite, Monday–Thursday and WFH FridaySALARY:$85K–$100K base (DOE) + paid overtime + bonus + comprehensive benefits package
