Position SummaryThe Payroll Administrator is responsible for supporting all aspects of high-volume, full-cycle payroll, including processing, auditing, compliance, reporting, and employee support.This role partners closely with Human Resources and Finance to ensure payroll accuracy, maintain audit-ready documentation, and support payroll systems and processes in a complex, grant-funded nonprofit environment. Key ResponsibilitiesPayroll Processing & ComplianceProcess semi-monthly payroll accurately and on timeEnsure compliance with federal, state, and local wage and labor lawsProcess payroll transactions including pay changes, bonuses, reimbursements, and garnishmentsEnsure timely payment of payroll taxes and withholdingsAuditing & ReportingAudit and reconcile payroll data and balance sheet accountsSupport W-2 preparation and reconciliation to the general ledgerGenerate payroll reports and perform data analysisMaintain audit-ready payroll documentationEmployee Support & CommunicationServe as a resource for employees and managers on payroll-related questionsResolve complex payroll issues with a strong customer service approachRespond to requests from regulatory and external agenciesSystems & Process ManagementMaintain payroll system configurations, codes, and cost centersSupport timekeeping system accuracy and complianceMaintain payroll-related content on internal platforms (e.g., SharePoint)Develop and document payroll policies, procedures, and internal controls QualificationsBachelor's degree in Accounting or related fieldMinimum 5+ years of high-volume payroll experience (nonprofit or complex funding environment preferred)Certified Payroll Professional (CPP) preferredStrong knowledge of payroll practices, wage and labor laws, and compliance requirementsTechnical SkillsExperience with payroll systems (UKG Ready/Kronos preferred)Advanced Excel skills (pivot tables, VLOOKUPs, data analysis)Proficiency in Microsoft Office SuiteKey SkillsStrong attention to detail and accuracyAbility to manage multiple priorities and deadlinesExcellent communication and customer service skillsProblem-solving mindset with ability to handle complex payroll issues Work EnvironmentHybrid work environment with a mix of remote and in-office workPrimarily office-based work using standard systems and equipmentCollaborative work with HR, Finance, and cross-functional teams Why Join Aspiranet?Mission-driven, inclusive, and collaborative cultureCompetitive compensation and comprehensive benefits package403(b) retirement plan with employer matchingFlexible hybrid work environmentGenerous paid time off and wellness benefitsEmployee Assistance Program (24/7 support)Ongoing training and professional development opportunitiesOpportunity to shape systems and improve outcomes through data Equal Employment OpportunityAspiranet is an equal opportunity employer committed to Inclusion, Diversity, Equity, and Access (IDEA).
