*Japanese Bilingual is a MUSTLocation: Los Angeles, CA | 100% On-sitePosition: Assistant to Manager (Operations & Sales Support)Industry: Veterinary / Medical DistributionStatus: Full-time, Non-ExemptSalary Range: $23 - $27/hour (DOE) Summary of the Position:A growing company in the veterinary pharmaceutical and medical device industry is seeking a bilingual (Japanese-English) Assistant to support the Manager.This position focuses primarily on order processing, shipping operations, and customer support, while also assisting with sales-related activities such as seminars and client communicationThis role is ideal for someone who is detail-oriented, proactive, and interested in both operational work and client interaction.Breakdown of Responsibilities:70% Operations (Order Processing & Shipping)30% Sales Support & Client InteractionKey ResponsibilitiesOperations & ShippingProcess sales orders and coordinate shipments (domestic & international)Pick, pack, label, and prepare products for shipmentArrange pickups and manage shipping carriers (FedEx, UPS, USPS, etc.)Create shipping lists and send shipment notifications to customersPerform inventory checks and manage stock levelsInspect incoming products and handle discrepancies, returns, and vendor claimsTrack deliveries and follow up on delays or issuesMaintain organized inventory and warehouse spaceSales Support & CoordinationSupport seminars, trade shows, and academic conferences (including travel)Communicate with clients (primarily Japanese veterinarians and institutions)Assist with product promotion, including specialized medical devicesHandle customer inquiries and build relationshipsAdministrative SupportSupport the Manager with daily operations and coordination across locationsMaintain documentation (invoices, POs, shipping records)Assist with various internal tasks as neededTravel RequirementsBusiness trips to Japan (approx. 1-3 times/year)Domestic travel within the U.S. (approx. 2-3 times/year)Occasional travel to Hawaii and conference locationsTypical trip duration: ~1 weekQualificationsExpert-level Japanese and business-level EnglishStrong attention to detail and accuracyPositive attitude and strong communication skillsAbility to handle both operational and client-facing responsibilitiesInterest in medical, pharmaceutical, or veterinary industriesTeam-oriented with a proactive mindsetPreferred QualificationsExperience in logistics, shipping, or order processingQuickBooks experience is a plusBasic to intermediate Excel skillsWork experience in Japan is a plusAdditional InformationWork Schedule: 9:30 AM - 6:00 PM (30 min lunch)Must be able to travel without restrictionsPet-friendly workplaceDetail-oriented work environment requiring accuracy and consistencyApplication Form
