Job Title - Executive Assistant Board & GovernancePosition Summary:ASM International is seeking a highly organized, proactive professional to support our Executive Director, Board of Trustees, and leadership team. This role is central to the effective functioning of the Executive Office and plays a key role in coordinating Board governance, executive operations, and high-level meetings and events.The ideal candidate thrives in a fast-paced environment, exercises sound judgment, and is comfortable working with senior leaders, volunteers, and VIP stakeholders while maintaining a high level of professionalism and confidentiality.Essential Job Duties and Responsibilities:Board & Governance SupportCoordinate all aspects of Board of Trustees meetings, including scheduling, logistics, materials, and follow-upPrepare agendas, presentations, and meeting minutes, ensuring accuracy and timely communication of Board actionsSupport Board committees, governance initiatives, and strategic planning activitiesMaintain official governance records, policies, and documentation, ensuring compliance and organizationServe as a liaison to Board members, volunteers, and leadership, supporting engagement and communicationExecutive Office OperationsManage the Executive Directors calendar, priorities, and daily administrative needsCoordinate internal and external meetings, including travel and logisticsPrepare reports, presentations, and confidential correspondenceMaintain organized records and corporate files, ensuring accuracy and discretionSupport executive-level initiatives and special projects as neededEvent & Meeting ManagementPlan and execute Board-related events and VIP activities, including those held during the organizations Annual MeetingOversee logistics such as travel, accommodations, catering, meeting setup, and audio-visual needsProvide on-site coordination and ensure a seamless experience for Board members and key stakeholdersCommittee & Program AdministrationManage the Nominating Committee process, including outreach, application management, and coordination of selection activitiesSupport onboarding and orientation of Board members and volunteersAssist with governance-related programs and initiatives that support leadership engagementRequired Qualifications:4-6 years of experience in executive support, administration, or coordination rolesExperience in a non-profit, association, or member-driven organization preferredStrong organizational, time management, and multitasking skillsExcellent written and verbal communication skillsHigh attention to detail and ability to handle sensitive information with discretionAbility to work independently while collaborating effectively across teamsTravel is expected for 1 or possibly 2 meetings/events per year.Technical SkillsProficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)Experience with survey or database tools (e.g., KeySurvey) is a plusKnowledge of re:Members AMS, Acumatica, Monday.com is preferred.
