Administrative Assistant
Job Summary:
Operates the telephone switchboard, assists all departments with various clerical duties, relays messages to appropriate telephone stations, greets members and guests, oversees the service of members and guests in the dining room, greets and seats guests when needed, maintains order and cleanliness, assures that guest satisfaction standards are consistently met.Essential Job Functions:1. Manages the telephone system, answers calls and delivers messages to appropriate recipients.
2. Ensures that all safety and accident policies and procedures are in place and consistently followed by members and guests.
3. Accommodates members and member guests. Listens to complaints. Responds and resolves or forwards to appropriate managers for follow up.
4. Provides administrative support to Food and Beverage Manager, Special Event Director, Executive Chef and acts as Membership Liaison.
5. Assists managers to create monthly calendars and flyers of other upcoming events and mails to members and guests. Is familiar with all events and menus. Assists Catering Department and Food & Beverage Manager with special orders for catered events such as invitations, floral and entertainment. Assists the Accounting Department with monthly mailing of members' invoices.
6. Manages guest reservation system. Takes meal and dining reservations. Creates guests' personalized menus daily.
7. Assists with mail, FedEx and UPS packages. Logs in all deliveries.
8. Stages the reception area and foyer. Maintains a neat, upscale appearance.
9. Performs other related duties as assigned or requested by supervisors/managers. Marginal Job Functions/ Required Knowledge, Skills, & Abilities:
1. Must be personable, friendly and possess good communication skills.
2. Must be computer literate and be able to type at least 40 wpm.
3. Must be able to meet deadlines and work under pressure.
4. Must have previous customer service training and/or experience.
5. Tech savvy with strong written and verbal communication skills
6. Advanced knowledge of Microsoft Word and Excel with the ability to design spreadsheets and Word documents.

Education: High School Diploma or Equivalent Major (if required):
Required Experience: At least two (2) years administrative experience including customer service.
Preferred Qualifications: Experience at a private club or resort.
