This role is ideal for a hands-on DME professional who possesses strong operational knowledge of Brightree, understands the full intake-to-billing lifecycle, and has experience in retail medical equipment sales and customer serviceThe ideal candidate will bring expertise in DMEPOS operations, insurance verification, Medicare billing, inventory oversight, and retail storefront management, while also contributing to the strategic growth and development of our retail medical supply business.This position plays a critical role in ensuring operational excellence, regulatory compliance, patient satisfaction, and business growth.Key ResponsibilitiesDME Operations & Brightree ManagementManage the complete DME workflow utilizing Brightree, from referral intake through order fulfillment, billing, collections, and follow-up. Process patient referrals, intake documentation, physician orders, Certificates of Medical Necessity (CMNs), and supporting clinical documentation. Verify insurance eligibility, authorizations, and payer requirements to ensure compliant dispensing and reimbursement. Submit clean claims and proactively resolve denials, rejections, and billing discrepancies. Monitor accounts receivable and assist with collections and payer communications.Retail Medical Supply OperationsSupport the development, organization, and day-to-day operations of the retail medical supply storefrontAssist customers with selecting appropriate medical equipment and supplies while providing product education and exceptional customer service. Recommend retail product offerings aligned with patient needs and market demand. Support merchandising, showroom presentation, retail pricing, and customer engagement initiatives. Help identify opportunities for business expansion, retail partnerships, and new product lines.Inventory & Vendor ManagementOversee inventory management, purchasing, stock levels, expiration monitoring, and vendor coordination. Maintain inventory accuracy and ensure product availability for both retail and referral-based DME operations. Coordinate equipment orders, deliveries, returns, and equipment maintenance processes. Build and maintain productive vendor relationships to support cost efficiency and supply continuity.Compliance & Quality AssuranceEnsure adherence to Medicare DMEPOS regulations, HIPAA, OSHA, accreditation standards, and payer requirementsMaintain audit-ready records, operational documentation, and compliance logs. Assist leadership with accreditation readiness and quality assurance initiatives. Ensure all patient documentation and billing practices remain compliant and accurate.Customer Relations & Referral CoordinationServe as a primary point of contact for patients, caregivers, physicians, discharge planners, case managers, and referral partners. Provide exceptional customer service and timely resolution of concerns. Conduct post-delivery follow-up and patient satisfaction outreach. Foster strong relationships with referral sources to support growth initiatives.Business Development & Growth SupportAssist leadership in the growth and expansion of the DME division and retail operations. Participate in community outreach, referral relationship development, and local marketing initiatives. Identify opportunities to improve workflow efficiency, patient experience, and revenue generation. Contribute ideas and strategies to strengthen market presence and increase sales performance.Qualifications & Experience Required Qualifications2+ years of hands-on DME/HME experience, preferably in both retail and insurance-based DME operationsDirect Brightree experience with patient intake, documentation, billing, and claims management. Strong knowledge of Medicare DME billing guidelines, payer requirements, authorizations, and reimbursement processesExperience with medical supply retail sales, patient product education, and storefront operationspreferred. Strong understanding of inventory management and vendor coordination. Excellent organizational skills with high attention to detail and compliance. Strong communication and customer service skills. Ability to work independently while collaborating with leadership and clinical teams. Proficiency in Microsoft Office and healthcare software systems. High School DiplomaPreferred QualificationsExperience helping launch, grow, or manage a retail DME business. Knowledge of accreditation requirements (HQAA, ACHC, or similar).
