Client Services Associate – Trust & Family Office

About the Opportunity:A boutique trust and investment management firm is seeking a Client Services Associate to join their high-net-worth client services team. In this role, you’ll manage trust account operations, assist with family office services, and support the Financial Advisory Team in delivering a comprehensive suite of wealth management services. Beyond account administration, you’ll collaborate across teams, maintain compliance standards, and help streamline processes to improve client service delivery.What You’ll DoAdminister trust accounts, including processing distributions, contributions, and money movementsMaintain documentation on non-financial assets such as real estate and insurance policiesAssist with estate administration, including preparation of Probate Court documents and schedulesCompile tax information for trust accountants and submit required forms and paymentsSupport periodic account reviews with Trust Officers / Investment Advisors and prepare compliance documentationOpen new accounts in trust accounting or portfolio management systems, including setup, tax lot verification, and transfersProvide household bill payment, cash flow reconciliation, and organization of financial information for reporting and tax purposesMaintain balance sheets and records for assets held at the firm and outside investmentsCollaborate with Relationship Managers, Portfolio Managers, Financial Planners, and General Counsel to deliver comprehensive client serviceServe as the primary client contact for non-investment, non-planning inquiriesParticipate in team meetings and client interactions alongside the Financial Advisory TeamRecommend and implement process improvements, policies, or procedures for operational efficiency and regulatory complianceAttend training seminars and professional development courses as requiredWhat We’re Looking ForAssociate’s degree in Accounting, Business, Finance, or Economics, or equivalent experience; Bachelor’s degree preferredMinimum of five years of experience in banking, accounting, trust or investment operations, or related financial servicesStrong understanding of trust and investment account operations, debits and credits, and securities-related transactionsExcellent organizational skills with the ability to prioritize multiple tasks and meet deadlinesStrong interpersonal and communication skills; comfortable interacting with high-net-worth clients and colleagues across teamsAttention to detail, professionalism, and ability to work independently under pressureWillingness and aptitude to learn new skills and systemsAbility to follow direction, accept constructive feedback, and suggest process improvementsKnowledge of regulatory and compliance requirements in trust and investment services a plus
