Program Support Specialist
The Opportunity
The Program Support Specialist plays a key role in ensuring smooth daily operations across logistics, procurement, facilities, office coordination, and basic technical support. This position is ideal for a hands-on, detail-oriented individual who enjoys solving problems, staying organized, and supporting program success through reliable coordination and assistance.
The specialist will gain practical exposure to program operations, supply chain coordination, facilities management, and foundational technical support while working closely with program leadership in a fast-paced professional environment.
Key Responsibilities (Principal Duties and Accountabilities *Essential Functions)
Logistics & Coordination
Manage incoming and outgoing shipments, ensuring accurate tracking, labeling, and documentation.
Coordinate with vendors, suppliers, and delivery services to track orders and resolve delays or discrepancies.
Support procurement activities by researching vendors, comparing quotes, and assisting with purchase requests.
Maintain organized records of orders, deliveries, and asset assignments.
Facilities & Office Operations
Conduct routine walkthroughs of office spaces, meeting rooms, and common areas to ensure readiness and functionality.
Coordinate Visit Access Requests (VARs) and badge requests to enable access to workspaces for customers and program staff alike
Coordinate with building management or external contractors regarding maintenance, repairs, or access needs.
Monitor office supply levels and proactively restock to prevent operational interruptions.
Assist with basic office setup or reconfiguration as business needs evolve.
Basic Technical Support
Assist with onboarding support, including setup of workstations (laptops, monitors, docking stations, and peripherals).
Provide first-level troubleshooting for common hardware and software issues such as printers, Wi-Fi connectivity, and collaboration tools (e.g., Teams, Slack, Zoom).
Maintain accurate inventory records for IT assets, peripherals, and software licenses.
Escalate technical issues to IT or Program staff when appropriate, providing clear documentation of observed issues and actions taken.
Other tasks as assigned.
Fluency in English (written and spoken)
Must meet eligibility requirements to obtain US Security clearance - Secret
Education
High School Diploma or equivalent
Associate’s or Bachelor’s degree in a technology, operations or business-related field preferred.
Required Skills, Experience & Abilities
Familiarity with basic office tools and systems, such as Microsoft Office Suite, email, and collaboration platforms (e.g., Teams, Slack, Zoom, or similar)
Professional demeanor and positive attitude when interacting with colleagues, vendors, and leadership
Initiative and willingness to take ownership of assigned tasks and small projects with minimal supervision
Comfort working in dynamic environments where priorities may shift and learning occurs on the job
Strong work ethic, reliability, and follow-through on commitments
Ability to work effectively both independently and as part of a collaborative team
Willingness and curiosity to learn new tools, systems, or procedures as needed
Awareness of safety, security, and procedural compliance, with a willingness to follow established protocols
General troubleshooting mindset, including the ability to logically isolate issues and seek resolution or escalation when appropriate

Ability to lift and carry items up to 25 pounds on a regular basis and up to 75 pounds on an occasional basis (e.g., packages, office supplies, or equipment).
Professional office environment with low to moderate noise levels
Routine movement between two floors using stairs as part of daily responsibilities
Regular interaction with internal staff and leadership in a professional office setting
Duration: Permanent hire
Hours: 40 hours per week
