This vital role supports the execution of high-value aircraft transactions by coordinating documentation, maintaining operational workflows, supporting customer communications, and ensuring seamless transaction support from prospect engagement through aircraft delivery.As a Sales Administrator, you will serve as a key operational partner to our Aircraft Sales organization helping deliver the premium, white-glove experience our discerning clientele expect. If you enjoy managing multiple priorities, building strong relationships, staying organized in a fast-moving environment, and supporting a team that redefines performance in aviation, we want to hear from you!What You'll DoProvide administrative and operational support to the Aircraft Sales team, including document preparation, scheduling, correspondence, and record maintenanceMaintain and organize aircraft transaction files, customer records, contracts, and sales documentation with exceptional attention to detailCoordinate communication between customers, escrow agents, insurers, brokers, vendors, and internal stakeholders to support smooth transaction executionPrepare professional sales reports, spreadsheets, presentations, agreements, and customer correspondence with accuracy and professionalismSupport CRM administration, including lead tracking, data entry, reporting, pipeline updates, and maintaining customer information integrityCoordinate calendars, meetings, travel arrangements, and logistics for sales leadership and team membersAssist with invoice tracking, expense reporting, purchase requests, and vendor coordination related to sales activities and eventsSupport planning and logistics for customer visits, aircraft demonstrations, delivery events, trade shows, and aviation industry activitiesPartner cross-functionally with Finance, Marketing, Maintenance, Upgrades, and Customer Support teams to ensure a seamless customer experienceMonitor deadlines and proactively follow up on transaction deliverables to ensure timely completion of requirementsMaintain confidentiality and exercise sound judgment when handling sensitive customer, financial, and transactional informationWhat You Bring to the TableRequired Qualifications and Skills:High school diploma or equivalent required13 years of experience in customer service, sales support, executive assistance, administrative support, or a related roleProficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Strong organizational skills with exceptional attention to detail and follow-throughAbility to manage multiple priorities and deadlines in a fast-paced environmentProfessional written and verbal communication skills with a polished customer-service mindsetAbility to maintain confidentiality and handle sensitive information with discretionMust live locally or be willing to relocatePreferred Qualifications:Associate or bachelor's degree in Business, Marketing, Communications, Aviation Management, or a related fieldExperience supporting sales teams, executives, or customer-facing operationsExperience in aviation, luxury goods, real estate, automotive, or other transaction-driven industriesExperience with CRM platforms, document management systems, and sales reporting toolsStrong problem-solving and process improvement mindsetAbility to anticipate needs and proactively support operational excellenceWho You AreYou're a highly organized, customer-focused professional who thrives behind the scenes making complex processes run smoothly.
