At Heli America, we supply North American dealers with forklift products and expertise to support our mission – Heli, Empower the world!Position SummaryHeli America Inc. is seeking a highly professional, discreet, and externally polished Executive Assistant to the President to provide high-level administrative and coordination support. This role is responsible for managing schedules, coordinating meetings and travel, supporting external communications, and facilitating internal and external follow-up on executive priorities. This is an exempt executive support role that requires flexibility and responsiveness outside normal business hours when needed. As the President may travel/operate across multiple time zones, the position may occasionally require early morning, evening, or after-hours availability to support scheduling, communications, and coordination needs. The ideal candidate is organized, responsive, trustworthy, and comfortable working in a fast-paced, cross-functional, and multicultural business environment. This individual must demonstrate strong English communication skills, sound judgment, professionalism, and the ability to handle sensitive information with discretion.Ideal Candidate ProfileThe ideal candidate is outgoing, polished, and confident in dealing with both internal and external stakeholders. This person communicates clearly and professionally, responds quickly, exercises strong judgment, and knows how to handle sensitive matters with discretion. They are highly organized, detail-oriented, and capable of managing schedules, communications, and follow-up with a strong sense of ownership and accountability. The successful candidate must be able to represent the President professionally, coordinate effectively across functions, and thrive in a fast-paced, high-trust environment. Flexibility in supporting executive needs across different time zones, including occasional after-hours communications, is essential.What we offer· Comprehensive medical, dental, and vision plans· 15 days of PTO plus 13 paid holidays· 401(k) with up to 6% company matchKey Responsibilities· Manage and maintain the President’s calendar, including scheduling meetings, appointments, travel, and business events· Coordinate domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and related logistics· Support day-to-day executive administrative needs, including meeting preparation, document organization, expense coordination, and general follow-up· Serve as a professional point of contact for routine external communications with customers, partners, vendors, government or association contacts, and other stakeholders, as authorized· Draft, proofread, and send professional business correspondence, meeting invitations, follow-up messages, and scheduling communications in English· Coordinate internal and external meetings, including agenda support, logistics, meeting materials, attendee confirmations, and action item tracking· Take meeting notes as needed and follow up on assigned action items to ensure timely completion· Organize and maintain contact lists, meeting records, executive files, and other relevant documentation· Gather and consolidate background information, summaries, and reference materials for executive review· Support visitor reception, executive hosting arrangements, and external event coordination as needed· Handle confidential and sensitive information with a high level of discretion and professionalism· Assist with other executive support and coordination tasks as assignedQualifications· Bachelor’s degree in Business or a related field preferred· 3+ years of relevant experience in executive support, administrative coordination, office management, external affairs support, or a similar role· Strong verbal and written English communication skills; Chinese language ability is a plus· Excellent organizational skills and attention to detail· Strong interpersonal skills with professional presence and sound judgment· Ability to manage multiple priorities, respond quickly, and maintain accuracy under pressure· High level of discretion, maturity, and confidentiality awareness· Outgoing, polished, and comfortable handling external-facing interactions· Strong follow-up skills and ability to coordinate across departments and with outside parties· Proficient in Microsoft Office, Outlook, Teams, and other standard business systems· Experience supporting senior executives in a multicultural or international business environment is preferredScope and Role BoundariesThis role is designed to support executive scheduling, communication, and coordination effectiveness.
