Position: Operations Manager
Status: Full- Time, 40 hours.
Classification: Exempt
Reports To: CEO
Pay Range: $50-$60K commensurate with education and experience
Job Summary
The Operations Manager plays a key role in ensuring the smooth and efficient day-to-day operations of the organization. This position oversees the administrative assistant(s) and manages relationships with key external facility vendors, including security, pest control, landscaping, maintenance, and equipment service providers. This role also supports all internal departments, assists with volunteer coordination, liaison for IT services, and helps maintain a safe, organized, and welcoming environment for staff and visitors.
Major Job Responsibilities and Duties
Administrative & Operational Leadership
Oversee and support administrative assistant(s) to ensure efficient front-office operations and reliable coverage during business hours (7:30-5:30 M-F).
Develop, implement, and maintain operational systems and Standard Operating Procedures (SOPs) to ensure consistency, efficiency, and audit readiness.
Partner with all departments to provide administrative and operational support, ensuring smooth workflow across Educational, Therapeutic, Development, and Finance teams.
Track and monitor organizational systems, including calendars, shared cloud-based folders, and internal documentation.
Vendor & Facility Management
Manage relationships with facility vendors, including security, pest control, landscaping, copier/printer services, and IT service providers.
Track facility needs and maintenance requests, escalating issues as appropriate to ensure compliance and operational continuity.
Support facility upkeep and create a safe, clean, and organized environment for staff, visitors, and program participants.
Volunteer Coordination & Support
Coordinate volunteer activities, including onboarding, training, scheduling, and recordkeeping.
Support ongoing volunteer engagement and recognition activities to strengthen organizational capacity.
Financial & Project Support
Support departmental budgets, operational tracking, and documentation as needed.
Participate in special projects, events, and organizational initiatives, ensuring operational and administrative needs are met.
Compliance & Risk Management
Ensure compliance with organizational policies, licensing requirements, and safety standards.
Support internal controls and documentation processes to maintain accountability and risk mitigation across operations.
Minimum Qualifications:
2 years experience in Office Management or equivalent.
High school diploma or GED plus two years of related work experience
Strong interpersonal and communication skills, including excellent phone etiquette, active listening, and the ability to remain calm and professional during busy periods.
Proficient with computers and digital tools, including basic office programs, and able to effectively use technology to communicate with families, educators, and team members.
Proven leadership skills
Excellent active listening, negotiation and presentation skills
Self-starter, attention to details, and highly organized
Preferred Qualifications:
Associate degree or higher in business management or nonprofit management
5 years senior management experience
Spanish language proficiency
Experience using Microsoft and other business management systems
Physical Requirements:
Ability to sit, stand, and move throughout the facility for extended periods during the workday .
Ability to lift and carry supplies, materials, or equipment up to 25 pounds as needed.
Ability to monitor entrances, classrooms, and outdoor areas to ensure child safety.
Visual and auditory ability to interact with children, staff, and visitors effectively.
Ability to perform basic office tasks, including computer work, filing, scanning, and document handling.
